Job Summary

The Purchase Officer will manage the end-to-end procurement of HVAC equipment, spare parts, and materials for both ongoing installation projects and maintenance services. This role involves sourcing local vendors, negotiating prices, tracking deliveries, and ensuring cost-effective, timely material availability for sites across Bangalore.

Key Responsibilities

Material Procurement & Sourcing

- Procure HVAC equipment (split/cassette ACs, VRFs, chillers) and project materials (copper pipes, ducts, dampers, insulation, valves).
- Source service components, refrigerants, compressors, and electrical spares for AMC and breakdown services.
- Review Bill of Quantities (BOQ) from the project team and service tickets from the maintenance team.
- Float inquiries, collect quotations, and prepare detailed comparative statements for management approval.

Vendor & Cost Management

- Negotiate best prices, payment terms, and delivery timelines with suppliers and local distributors.
- Develop a solid network of reliable HVAC material suppliers and local traders in and around Bangalore.
- Evaluate vendor performance based on material quality, delivery speed, and pricing consistency.

Logistics & Coordination

- Follow up with vendors daily to ensure on-time delivery to various project and service sites.




- Coordinate with site engineers and service technicians to verify material receipts and handle delivery discrepancies.
- Manage returns, warranty claims, and replacements for defective or incorrect materials.

Documentation & Compliance

- Raise Purchase Orders (POs) accurately using accounting or ERP software (Tally, SAP, or MS Excel).
- Verify vendor invoices against POs and Delivery Challans (DC) before forwarding them to the accounts team for payment.
- Maintain updated records of purchase registers, price lists, and vendor contracts.

Required Skills & Qualifications

Education & Experience

- Education: Diploma/Degree in Mechanical/Electrical Engineering or a Graduate degree (b.com) with relevant technical experience.
- Experience: 2 to 5 years of procurement experience specifically in HVAC, MEP, or Facility Management sectors.

Technical & Local Knowledge

- HVAC Market: Good understanding of HVAC materials, brands, and the local supplier market in Bangalore (e.g., SP Road, City Market areas, or major distributors).
- Software: Proficiency in MS Excel (VLOOKUP, Pivot Tables) and basic ERP or Tally software.

Soft Skills

- Languages: Fluency in English and Kannada (highly preferred for dealing with local vendors and transport drivers).
- Negotiation: Strong bargaining skills to optimize project and service margins.
- Multitasking: Ability to handle urgent service material requests alongside long-term project requirements.

Pay: ₹300,000.00 - ₹800,000.00 per year
