Job Title: Purchase Executive / Senior Purchase Executive
Department: Purchase / Procurement
Location: Vashi
Reports To: Purchase Manager / Head – Supply Chain
Job Summary
We are looking for a proactive and experienced Purchase Executive with 5–6 years of experience in the API/Pharmaceutical industry. The candidate will be responsible for end-to-end procurement of APIs, raw materials, solvents, packaging materials, and other production-related items while ensuring timely availability, cost optimization, quality compliance, and uninterrupted supply.
Key Responsibilities
- Handle end-to-end procurement of APIs, intermediates, raw materials, solvents, excipients, packaging materials, engineering items, and consumables.
- Float enquiries, obtain quotations, prepare comparative statements, and finalize vendors based on quality, price, and delivery.
- Negotiate commercial terms, pricing, payment conditions, and annual rate contracts to achieve cost savings.
- Create and process Purchase Requisitions (PRs) and Purchase Orders (POs), and ensure timely follow-up until material receipt.
- Identify, evaluate, and develop reliable domestic and international suppliers.
- Coordinate with the Quality Assurance team for vendor qualification, audits, and performance evaluation.
- Ensure procurement complies with regulatory requirements such as FDA, EMA, PMDA, and applicable GMP standards.
- Maintain procurement documents, including Purchase Orders, Contracts, COAs (Certificate of Analysis), DMFs (Drug Master Files), MSDS/SDS, and other statutory records.
- Monitor inventory levels and coordinate with Stores and Production to avoid stock-outs and excess inventory.
- Work closely with Production, Planning, R&D;, Quality Assurance, Warehouse, and Finance for procurement planning and execution.
- Track supplier performance on quality, delivery, and responsiveness, and implement corrective actions where necessary.
- Identify alternate suppliers and develop risk mitigation strategies to ensure business continuity.
- Prepare procurement reports, cost analysis, savings reports, and MIS for management review.
- Ensure timely reconciliation of vendor invoices and coordinate with Finance for payment processing.
- Maintain strong supplier relationships and continuously explore opportunities for cost reduction and process improvement.
Required Qualifications
- Bachelor's Degree in Chemistry, Pharmacy, Chemical Engineering, Commerce, Business Administration, or a related discipline.
- 5–6 years of procurement experience in the API, Pharmaceutical, Chemical, or Life Sciences industry.
- Experience in sourcing APIs, intermediates, chemicals, solvents, and packaging materials.
Required Skills
- Solid negotiation and vendor management skills.
- Sound knowledge of procurement processes and supply chain management.
- Understanding of pharmaceutical regulatory requirements (FDA, EMA, PMDA, WHO-GMP).
- Excellent analytical, communication, and interpersonal skills.
- Proficiency in ERP systems (SAP, Oracle, Microsoft Dynamics, etc.) and Microsoft Excel.
- Ability to manage multiple priorities and work under tight deadlines.
- Strong knowledge of inventory planning and procurement documentation.
- Established network with domestic chemical manufacturers, API suppliers, intermediates manufacturers, and distributors is preferred.

Preferred Experience
- Experience in regulated pharmaceutical/API manufacturing companies.
- Knowledge of import procurement and international logistics will be an added advantage.
- Exposure to supplier audits and quality systems is preferred.
Pay: ₹700,000.00 - ₹800,000.00 per year
