We are seeking a meticulous and proactive HR Coordinator to support our U.S. operations. This role is pivotal in managing candidate communication, ensuring smooth onboarding, maintaining accurate documentation, and supporting compliance and background verification processes. Ideal candidates will possess excellent coordination skills, an eye for detail, and a passion for organizational efficiency.
Key Responsibilities
Offer & Exit Communication
- Confirm offer with the Account Manager and send it to the candidate
- Confirm the End-of-contract details with the Account Manager and send it to the candidate
- Draft and send formal emails to candidates regarding onboarding or exit
Onboarding Coordination
- Send onboarding packets via ATS
- Guide candidates in filling out onboarding documentation
- Review submitted forms for accuracy and completeness
- Ensure all required supporting documents are received before background check
Background Verification
- Collect education and employment history from candidates
- Coordinate drug testing when required
- Collaborate with Account Manager if criminal history requires client clearance
- Monitor background check status multiple times daily
- Provide timely updates to Account Manager
- Obtain supporting documents if education/employment data cannot be verified
Documentation & Compliance
- Maintain complete candidate folders with W2/C2C, client documents, background checks, and verification proofs
- Track expiry of submitted documents and request updated versions
- Validate Direct Deposit forms for accuracy to ensure smooth payroll processing
Recordkeeping & Audit Readiness
- Maintain organized records and trackers on Google Sheets
- Ensure documentation is in order and audit-ready at all times
Candidate Engagement & Experience
- Maintain consistent communication with candidates throughout onboarding and background check process
- Confirm candidate start dates and ensure timely readiness
Team Culture & Engagement
- Address feedback and operational concerns within the HR team
- Organize regular engagement activities (e.g., Fun Friday calls) to promote team bonding

Qualifications
- Bachelor's degree in Human Resources, Business Administration, or related field
- 1–3 years of HR administrative experience, Must have worked in US staffing
- Familiarity with ATS platforms and background verification protocols
- Robust communication and interpersonal skills
- Proficient with Google Workspace, especially Google Sheets
- Detail-oriented with a proactive work ethic
