HR PAYROLL EXECUTIVE

Location: Chengannur, Alappuzha District, Kerala

Employment Type: Full-time, Permanent
Monthly Salary: ₹20,000
Experience: Minimum 2 years preferred

Working Days: Monday to Saturday
Office Hours: 9:00 AM to 5:00 PM
Weekly Off: Sunday

We are looking for a responsible, organised, and experienced HR & Payroll Executive to manage recruitment, payroll, PF/ESI coordination, employee attendance, staff performance tracking, employee documentation and day-to-day human resource operations.

The selected candidate will work from the company’s new office in Chengannur and coordinate directly with employees, management, accountants and statutory compliance consultants.

JOB SUMMARY

The HR & Payroll Executive will support the complete employee lifecycle, including recruitment, onboarding, attendance, payroll, statutory documentation, performance monitoring, employee relations and exit formalities.

The ideal candidate should have practical HR and payroll knowledge, excellent communication skills, robust attention to detail and the ability to handle confidential employee information professionally.

KEY RESPONSIBILITIES

(1) Payroll Management

- Collect and verify monthly attendance, leave, overtime, incentives and salary information
- Prepare and process monthly employee payroll accurately and on time
- Calculate salary, loss of pay, overtime, incentives, reimbursements and deductions
- Prepare monthly salary sheets and employee payslips
- Verify employee bank and salary details
- Coordinate with the accounts department for salary disbursement
- Maintain payroll registers and month-wise salary records
- Respond to employee salary queries professionally
- Submit the final payroll statement to management for approval
- Maintain complete confidentiality of employee salary information

(2) PF, ESI and Statutory Coordination

- Calculate employee and employer PF/ESI contributions, where applicable
- Maintain employee UAN, PF, ESI and KYC records
- Support new-employee UAN and statutory registrations
- Update employee details in statutory records
- Prepare information required for monthly PF/ESI challans and returns
- Coordinate monthly filings and payments with the accountant or compliance consultant
- Maintain copies of challans, returns and related compliance documents
- Assist employees with routine PF, UAN and ESI queries
- Monitor monthly statutory deadlines
- Report missing documents or compliance concerns to management

(3) Attendance and Leave Management

- Monitor employees’ daily attendance and working hours
- Maintain login, logout, late arrival and early departure records
- Record employee absences and approved leave
- Review leave applications and obtain the necessary approval
- Maintain individual leave balances
- Follow up regarding missing attendance or unauthorised absence
- Calculate loss of pay according to company policy
- Prepare daily, weekly and monthly attendance reports
- Maintain holiday and weekly-off records

(4) Staff Monitoring and Performance Tracking

- Collect daily or weekly work reports from employees
- Maintain department-wise task and performance trackers
- Monitor assigned duties, deadlines and task-completion status
- Follow up on delayed, incomplete or unreported work
- Monitor punctuality, responsiveness and workplace discipline
- Prepare weekly and monthly employee performance reports
- Coordinate performance-review meetings
- Document performance feedback and improvement requirements
- Report repeated attendance, discipline or performance concerns to management




- Ensure monitoring is based on attendance, assigned responsibilities and measurable work output

(5) Recruitment and Selection

- Discuss manpower requirements with management
- Prepare job descriptions for approved vacancies
- Publish advertisements on Indeed, LinkedIn, Naukri and other authorised platforms
- Source candidates through job portals, social media and referrals
- Review CVs and shortlist suitable candidates
- Conduct preliminary telephone or in-person HR interviews
- Evaluate candidates’ qualifications, experience, communication and availability
- Schedule final interviews with management
- Follow up with candidates regarding interview status
- Conduct reference or previous-employment checks when authorised
- Communicate offers within the salary approved by management
- Maintain an accurate recruitment tracker
- Prepare weekly recruitment-status reports

(6) Employee Onboarding

- Prepare approved offer letters and appointment letters
- Collect identity, address, education, employment and bank documents
- Verify that required joining documents have been submitted
- Create individual employee files
- Complete payroll, PF, ESI and employee-record formalities
- Conduct employee induction and orientation
- Explain office hours, attendance, leave, reporting and company policies
- Coordinate employee email, system and workplace access
- Update the employee master database
- Follow up with new employees during probation

(7) Employee Records and HR Documentation

- Maintain complete physical and digital employee files
- Keep the employee master database accurate and updated
- Maintain copies of employment contracts and employee correspondence
- Prepare confirmation, increment and designation-change letters
- Prepare approved warning, show-cause and disciplinary letters
- Issue salary certificates and other authorised HR documents
- Maintain records of management approvals
- Update changes in salary, designation, department and reporting manager
- Ensure employee records are securely stored
- Protect confidential employee and company information

(8) Employee Relations

- Serve as the first point of contact for routine employee HR queries
- Communicate company policies and management instructions
- Receive and document employee grievances
- Escalate serious or sensitive matters to management
- Support the professional resolution of workplace concerns
- Maintain confidentiality when handling employee complaints
- Encourage professional conduct and respectful communication
- Coordinate employee announcements, meetings and engagement activities

(9) HR Policies and Workplace Discipline

- Assist management in preparing and updating basic HR policies
- Communicate approved policies to employees
- Collect employee acknowledgement of important policies
- Monitor compliance with attendance, leave and reporting procedures
- Document workplace misconduct and policy violations
- Prepare authorised notices and warnings
- Maintain records of disciplinary action and employee responses
- Ensure that major disciplinary decisions receive management approval

(10) Performance Review and Development

- Maintain employee goals and performance indicators




- Coordinate probation and periodic performance reviews
- Collect performance feedback from reporting managers
- Prepare performance-review summaries
- Track probation confirmation and salary-review dates
- Monitor approved performance-improvement plans
- Follow up on employee improvement actions
- Identify basic training requirements
- Coordinate employee training and development activities
- Maintain training and performance records

(11) Resignation and Exit Formalities

- Receive and acknowledge employee resignations
- Verify the applicable notice period
- Coordinate work handover and department clearance
- Ensure the return of company property and documents
- Coordinate deactivation of company access
- Conduct or coordinate exit interviews
- Prepare an employee exit summary
- Provide payroll information for final settlement
- Coordinate full-and-final settlement with accounts and management
- Prepare approved experience and relieving letters
- Update the employee master database and exit records

(12) HR Reports and Management Support

- Prepare daily attendance reports
- Prepare weekly recruitment and staff-status reports
- Prepare monthly payroll, leave and compliance reports
- Maintain recruitment, onboarding, performance and exit trackers
- Highlight pending approvals and statutory deadlines
- Report important employee concerns to management
- Support management with HR and related administrative activities

REQUIRED QUALIFICATIONS

- Bachelor’s or master’s degree in Human Resources, Business Administration, Commerce or a related field
- Minimum two years of practical HR or payroll experience preferred
- Practical experience in monthly payroll preparation
- Working knowledge of PF, ESI, UAN and employee KYC procedures
- Experience in recruitment, interviewing and employee onboarding
- Knowledge of attendance, leave and employee-documentation processes
- Proficiency in Microsoft Excel, Word and Google Sheets
- Ability to prepare salary sheets, reports and HR trackers
- Good written and spoken English
- Good Malayalam communication skills
- Strong organisational and time-management ability
- Professional communication and interpersonal skills
- Ability to work independently and meet deadlines
- High level of confidentiality, integrity and attention to detail

PREFERRED SKILLS

- Previous experience as an HR Executive, Payroll Executive or HR Generalist
- Experience coordinating with accountants or statutory consultants
- Familiarity with HRMS, attendance and payroll software
- Knowledge of applicable labour and employment requirements
- Ability to prepare professional HR letters and reports
- Experience handling employee grievances and workplace concerns
- Strong interviewing and candidate-screening ability
