Job Purpose

The Executive Assistant (EA) will provide high-level administrative, operational, and strategic support to the Director, ensuring the productive management of executive priorities, business commitments, and day-to-day operations. The role requires exceptional organizational skills, sound judgment, and the ability to maintain the highest level of confidentiality while coordinating with internal and external stakeholders.

Key Roles & Responsibilities

1. Executive Calendar & Time Management

- Manage the Director's calendar, appointments, meetings, and business commitments.
- Prioritize schedules, resolve conflicts, and ensure optimal utilization of the Director's time.
- Track deadlines, reminders, and follow-up actions.

2. Meeting Management

- Coordinate internal and external meetings with senior management, clients, government officials, industry bodies, and other stakeholders.
- Prepare meeting agendas, presentations, briefing notes, and related documents.
- Record and circulate Minutes of Meeting (MOM) and monitor action items until completion.

3. Travel & Logistics Management

- Plan and coordinate domestic and international travel, including flights, accommodation, visas, transportation, travel insurance, and detailed itineraries.
- Accompany the Director on business trips, events, and official visits whenever required, providing end-to-end coordination and administrative support.

4. Executive Correspondence & Documentation

- Manage the Director's emails, correspondence, confidential documents, and official records.
- Draft professional emails, business letters, presentations, speeches, reports,



and executive summaries.
- Screen, prioritize, and respond to communications on behalf of the Director where authorized.
- Maintain organized records of agreements, correspondence, and other confidential documentation.

5. Stakeholder & Relationship Management

- Serve as the primary liaison between the Director and internal departments, clients, business associates, vendors, government authorities, industry associations, and other external stakeholders.
- Ensure timely communication, coordination, and follow-up on key business matters.
- Build and maintain strong professional relationships.

6. Executive Events, Public Relations & Branding

- Coordinate conferences, seminars, business events, plant visits, customer visits, and official functions.
- Manage invitations, hospitality, logistics, protocol arrangements, and event coordination.
- Support the Director's professional social media presence by coordinating content related to corporate events, industry engagements, and public appearances.
- Assist with public relations initiatives and official announcements to enhance the Director's professional image.

7. Executive Support

- Handle highly confidential and sensitive information with complete discretion.




- Anticipate the Director's requirements and provide proactive administrative and operational support.
- Undertake any other responsibilities assigned by the Director.

Requirements & Skills

- Bachelor's Degree in Business Administration, Management, Commerce, or a related discipline.
- 48 years of experience as an Executive Assistant, Personal Assistant, or Executive Secretary supporting Directors, CEOs, Managing Directors, or other CXO-level executives.
- Prefer Male candidate only
- Strong planning, organizational, and multitasking abilities.
- Excellent interpersonal, verbal, and written communication skills.
- Proactive, solution-oriented, and adaptable.
- High level of confidentiality, integrity, and professional discretion.
- Willingness to travel extensively as per business requirements.

Pay: ₹500,000.00 - ₹600,000.00 per year
