1. Role Overview The TPA Desk Executive is responsible for managing all insurance-related processes within the hospital, ensuring smooth coordination with Third Party Administrators (TPAs), insurance companies, doctors, and internal departments. The role ensures accurate processing of pre-authorization, approvals, queries, and final settlement of cashless and reimbursement cases, delivering a hassle-free experience to patients.
2. Key Responsibilities
A. Patient Insurance Coordination
- Collect and verify patient insurance documents at admission.
- Explain insurance coverage, eligibility, and exclusions to patient/family members.
- Guide patients through cashless and reimbursement procedures.
B. Pre-Authorization & Approvals
- Submit pre-authorization requests with complete medical details.
- Follow up with TPAs/insurance companies for timely approvals.
- Respond to queries raised by insurers and coordinate with doctors for additional information.
- Maintain records of approval limits and validity.
C. Inter-Department Coordination
Liaise with
- Doctors for medical justification and treatment updates
- Billing for estimate sharing and updates
- Pharmacy for medication billing details
- Labs/Radiology for investigation reports
- MRD for discharge summary and documentation
- Ensure smooth communication between all departments for insurance cases.
D. Discharge & Final Billing
- Notify TPA/insurance about planned discharge.
- Submit final bill, discharge summary, and required documents for final approval.
- Follow up for enhancement approvals if required.
- Ensure timely receipt of Final Authorization Letter (FAL).
E. Claim Documentation & Audit
- Ensure all documents are complete and accurate before sending claims.
- Coordinate with internal audit for bill verification and error correction.
- Track claim submissions and settlement status.
- Maintain MIS for pending and settled claims.
F. Client & TPA Relationship Management
- Maintain healthy working relationships with TPA representatives and insurance officials.
- Attend meetings/calls for escalated cases.
- Keep updated on TPA policies and guidelines.
G. Customer Service:
- Address patient concerns politely and professionally.
- Provide clear communication to relatives on approval timelines.
- Ensure a smooth cashless experience for patients.

Required Skills & Qualifications:

- Ability to work under pressure in a quick-paced hospital environment and manage multiple cases simultaneously.

- Hospital experience is mandatory. Candidates must have prior experience working in a hospital TPA
