Education: Graduate or Diploma Holder A "Documentation Tendering" job prole involves the responsibility of preparing, managing, and compiling all necessary documentation for submitting tenders (bids) to potential clients,
ensuring accuracy, compliance with tender requirements, and presenting a comprehensive proposal that highlights the company's capabilities to secure contracts; this includes tasks like reviewing tender documents, gathering information from dierent departments, drafting technical and commercial proposals, and coordinating with internal stakeholders to meet submission deadlines.
Key responsibilities of a Documentation Tendering professional:
1. Analyzing Tender Documents:
Carefully reviewing tender documents to fully understand the project scope, technical specications, evaluation criteria, and compliance requirements.
2. Information Gathering:
Coordinating with internal departments like engineering, sales, nance, and legal to gather relevant data, technical details, pricing information, and compliance certicates needed for the tender response.
3. Proposal Writing:
Drafting comprehensive technical and commercial proposals as per the bid, including detailed descriptions of the proposed solution, project methodology, project timeline,
pricing structure along with project team and OEM.
4. Compliance Management:
Ensuring all tender documents adhere to the specied format and submission guidelines, including legal and regulatory compliance checks.
5. Technical Documentation:
Preparing technical specications, drawings, data sheets, and other supporting documents to clearly demonstrate the proposed solution's capabilities.
6.
Cost Estimation:
Calculating project costs, including materials, labour, and overheads, to develop accurate pricing proposals before submission.
7. Quality Control:
Reviewing and editing all tender documents to ensure accuracy, clarity, and professional presentation before submission.
8. Tender Submission:
Managing the submission process on electronic tendering platforms, including timely uploading of documents and adhering to deadlines.
9. Clarication Requests:
Responding to any clarications or questions raised by the client regarding the tender documents.
10. Creation and deletion Creating or deletion of categorises on gem portal as per the requirements.
11. Report Submission
Keeping a record of all the tender submitted, upcoming tenders in a proper format for reviewing save.
12. Post-Submission Follow-up:
Maintaining communication with the client throughout the evaluation process and addressing any queries that may arise. Tracking EMD and PBG submitted at a time of ling tender.
13. Skills required for a Documentation Tendering role:
- Solid Writing and Editing Skills: Ability to clearly and concisely communicate technical information in a compelling and persuasive manner.
14. Technical Knowledge:
Understanding of the products, services, or industry relevant to IT Networking, Structure
Cabling, UPS, Video Wall etc the tenders being submitted.
15. Attention to Detail:
Meticulous focus on ensuring accuracy and completeness in all documentation.
16. Time Management Skills:
Ability to coordinate multiple tasks and meet deadlines within a tight timeframe.
17. Communication Skills:
Eective communication with internal stakeholders and external clients to gather information and address concerns.
