About The Role The position of Executive Assistant to the MD & CEO at Anton Global Pharmaceuticals is a pivotal role that combines executive support with talent acquisition responsibilities. Reporting directly to the Managing Director and the CEO, this full-time, on-site role is based in Mumbai and is ideal for a mid-level professional with 2 to 6 years of experience.
The role is divided into two core functions: providing comprehensive executive assistance to ensure the smooth functioning of the MD and CEO’s schedules and commitments, and managing the end-to-end recruitment process to support the company's growth ambitions.
This role is not involved in HR administration, performance management, payroll, or statutory compliance. Instead, it focuses on optimizing the daily workflows of the leadership team and maintaining a robust talent pipeline. The successful candidate will be highly organized, discreet, and proactive, capable of managing multiple priorities with professionalism and efficiency.
Qualifications The ideal candidate will possess 2 to 6 years of experience in an executive assistant, recruitment, or talent acquisition role, preferably with exposure to fast-paced environments. Demonstrable success in closing roles and managing recruitment processes from sourcing to onboarding is essential. Strong proficiency in written and spoken English is required,
with additional language skills in Hindi and Marathi considered advantageous for local hiring.
A well-organized individual who maintains meticulous trackers, follows up diligently, and ensures timely completion of tasks will excel in this role. Discretion is paramount, as the role involves handling sensitive information such as salary data, confidential correspondence, and calendar management. Proficiency in Excel or Google Sheets, LinkedIn Recruiter, Naukri, and standard scheduling and document management tools is expected.
A graduate degree in any discipline is sufficient; formal HR qualifications are not mandatory.
Experience supporting founders or senior leaders in small, fast-moving companies, especially within the pharmaceutical, chemicals, export, or supply chain sectors, will be considered a plus. Additionally, familiarity with working across Indian and Gulf time zones is desirable.
Responsibilities Executive Assistance
- Manage the calendars of the MD and CEO, including scheduling, rescheduling, and prioritizing meetings to optimize their time and focus.
- Coordinate domestic and international travel arrangements, including flights, hotels, visas, forex, ground transportation, and detailed itineraries.
- Prepare comprehensive meeting materials such as agendas, briefing notes, background information on counterparts, and minutes with clear action points.
- Track follow-ups, deadlines, and commitments to ensure nothing is overlooked or delayed.
- Draft and manage correspondence, acting as the first point of contact for external visitors and callers.
- Handle expense reports, document filing, and maintain confidential records with integrity and accuracy.
Talent Acquisition
- Own the end-to-end recruitment process, including drafting and posting job openings on platforms like LinkedIn, Naukri,
and other relevant channels.
- Actively source candidates through LinkedIn searches, Naukri database, recruitment consultants, and referrals to ensure a steady pipeline of qualified applicants.
- Screen CVs against role requirements, conduct initial telephonic interviews, and shortlist candidates for final discussions with hiring managers.
- Coordinate interview schedules across the MD and CEO’s calendars, maintain candidate engagement, gather feedback, and communicate effectively throughout the process.
- Manage offer rollout, support salary negotiations, conduct reference and background checks, and facilitate smooth onboarding for new hires.
- Maintain a live database of candidates and provide regular pipeline reports to leadership.
- Manage relationships with recruitment vendors, including consultants, job portals, and background check agencies.
