Role & responsibilities The Executive Documentation / Data Entry Operator shall be responsible for maintaining accurate and timely project documentation, tracking Monthly Progress Reports (MPRs), coordinating with various departments for data collection, and ensuring that all project-related records are updated in real time. The role requires excellent documentation skills, attention to detail, confidentiality, and proficiency in MS Office applications.
Key Responsibilities
1. Monthly Progress Report (MPR) Management
- Track Monthly Progress Reports (MPRs) received from various project sites.
- Consolidate project data and prepare MPRs in the prescribed format.
- Ensure timely submission of monthly reports to management.
2. Documentation Management
- Prepare, organize and maintain project documentation as per MPR requirements.
- Ensure all project records are properly filed, indexed and easily retrievable.
- Maintain document version control and ensure only approved documents are circulated.
3. Data Collection & Coordination
- Coordinate with Project, Billing, Planning, Procurement, HR, Accounts and other departments to obtain required data and documents.
- Follow up with concerned departments to ensure timely submission of information.
- Resolve documentation gaps through proactive coordination.
4. Data Entry & Record Maintenance
- Update project data, reports and records accurately in Excel and other approved systems.
- Ensure all project-related information is maintained on a real-time basis.
- Verify data accuracy before final submission.
5. MIS & Reporting Support
- Prepare daily, weekly and monthly status reports.
- Assist management in preparing presentations, summaries and analytical reports.
- Generate reports as required by senior management.
6. Confidentiality & Data Security
- Maintain complete confidentiality of company documents and sensitive information.
- Ensure secure handling and storage of records.
- Prevent unauthorized access or disclosure of confidential information.
7. Process Improvement
- Suggest improvements in documentation systems and reporting formats.
- Standardize templates for effective document management.
- Support digitalization and process improvement initiatives.
8. Other Responsibilities
- Perform any other documentation, administrative or coordination assignments entrusted by the Reporting Manager or Management from time to time.
- Extend support to cross-functional teams whenever required.
- Complete special assignments within stipulated timelines.
Desired Candidate
- Any Graduate with 4 to 8 Years experience.
Technical Skills
- Excellent knowledge of MS Excel (Advanced), MS Word and MS PowerPoint.
- Fast and accurate data entry skills.
- Strong documentation and record management.
- Good knowledge of report preparation and document formatting.
- Ability to handle large volumes of project data.
