Job Summary
The Manager Procurement will be responsible for managing the end-to-end procurement cycle for goods and services, ensuring transparency, value for money, and adherence to organisational procurement policy. The role does not carry independent sign-off authority for high-value purchases; approvals rest with the designated recommending and approving authorities. This position supports the procurement function under the guidance of senior finance/administration leadership.

Reports to: Director Procurement
Tenure: 3 Years (annual contract, renewable based on performance and availability of funds)
Responsibilities
- Procurement Vendor Management: Manage end-to-end procurement processes, including sourcing, tendering, vendor evaluation, quotation analysis, purchase order issuance, and contract administration.
- Maintenance of vendor databases, support vendor empanelment, and assist in contract negotiations and renewals.
- Procurement Operations Coordination: Coordinate with internal departments to understand procurement requirements, ensure budget availability, track purchase orders, monitor deliveries, and facilitate timely vendor payments.
- Compliance, Documentation Audit: Ensure procurement activities comply with organizational policies, donor requirements, and statutory regulations. Maintain complete, accurate, and audit-ready procurement records and support internal and external audit processes.
- Reporting Process Improvement: Prepare procurement MIS reports,
dashboards, and management reports. Monitor procurement performance, identify cost-saving opportunities, and recommend process improvements to enhance efficiency and value for money.
Requirements
- Bachelors degree, preferably in Commerce, Business Administration, or a related field
- Proficiency in MS Excel, including pivot tables, VLOOKUP/XLOOKUP, and dashboard preparation.
- 36 years in procurement, purchase, or vendor management
- Strong vendor negotiation and written/verbal communication skills.
- Familiarity with AMC, and contract renewal processes.
- Sound knowledge of procurement policies, tendering processes, and basic statutory compliances (GST and TDS)
- High attention to detail and discipline in documentation and record-keeping.
- Prior experience in the development/non-profit/ humanitarian sector will be preferred.
- Proven ability to work with cross-functional teams and drive strategic initiatives.
- Robust communication, facilitation, and stakeholder management skills.
- Good presentation and PR skills
- Should be sensitive to the cause of the organisation
