Job Description
Project Manager / PMO Lead
Workstream delivery assurance, governance reporting & internal communications
Role purpose
Reporting to the Programme Lead, the Project Manager / PMO Lead is the Programme Lead's right hand across delivery. The role bridges into each workstream to keep a finger on the pulse of activity judging what is working and what is not, spotting risk and slippage early, and directing further assistance where it is needed to keep the programme on track. It also owns governance committee reporting (the monthly SteerCo pack and weekly status note) and the programme's internal communications.
A separate Programme Coordinator role provides the administrative backbone scheduling, minutes, document control, logistics and register upkeep so this role can stay focused on delivery oversight, workstream integration, governance reporting and communications. The successful candidate will be hands-on and delivery-focused, equally credible with senior stakeholders and workstream leads, and able to maintain momentum against a fixed Phase 1 deadline.
Key responsibilities
Workstream liaison & delivery oversight
- Be the Programme Lead's eyes and ears across the workstreams Finance/FAS, Adaptive Planning, FDM, Data, Integration, Testing, Change, Reporting, Security and Cutover staying close to the activity in each.
- Build strong working relationships with each workstream lead and engage in their working sessions to understand progress, plans and pressure points first-hand.
- Form a clear, honest view of what is working and what is not — surfacing emerging risks, blockers and slippage early, while there is still time to act.
- Identify where further assistance or resource is needed to keep a workstream on track, and work with the Programme Lead to mobilise it.
- Bridge the gaps between workstreams — managing cross-workstream dependencies and hand-offs so that nothing falls between the cracks.
- Give the Programme Lead a current, accurate picture of programme health against the Phase 1 calendar-2026 commitment.
Programme & delivery management
- Support the Programme Lead in the day-to-day running of the side of the programme.
- Maintain oversight of the consolidated programme plan in Smartsheet — milestones, dependencies, critical path and progress against baseline.
- Coordinate with the deployment partner (Cloudrock) joint programme managers to keep plans, actions and reporting aligned across the partner sides.
- Drive actions and decisions to closure — protecting momentum against the fixed Phase 1 deadline.
- Define the PMO standards, reporting cadence and templates — with day-to-day administrative upkeep handled by the Programme Coordinator.
Governance & committee reporting
- Prepare the monthly Programme SteerCo pack to a board-ready standard and circulate it to deadline (pre-read three working days prior).
- Produce the weekly programme status note for the Sponsor's leadership cadence (the Group CFO's direct-reports meeting).
- Prepare pre-reads and status updates for external and stakeholder forums — Technical Design Authority (TDA) warm updates, the Group Programme Dependency Committee and the Change Function Committee — keeping a single, consistent narrative across all bodies.
- Maintain the decisions log and action register and communicate outcomes to consulted bodies, upholding the programme's “no surprises” governance principle.
Internal communications & stakeholder engagement
- Develop and run the internal communications plan for the programme, aligning messaging milestones to the delivery phases.
- Translate complex, technical change across Workday Financials, Prism, Accounting Center, Expenses, Procurement and Kyriba into clear, audience-appropriate messaging for finance teams, end-users, leadership and the Board.
- Produce stakeholder packs, briefings, FAQs and readiness / go-live communications and supporting change and adoption content, working alongside the Change function.
- Manage stakeholder mapping and engagement and act as a central coordination point, Cloudrock and DR&P; Insurance.
Risk, RAID & gate readiness
- Own the programme view of risks, issues, assumptions and dependencies — facilitating reviews, testing mitigations and ensuring timely, well-targeted escalation (register upkeep supported by the Programme Coordinator).
- Track gate readiness (architecture lock, detailed-design finalisation, phase test, end-to-end, InfoSec and go-live sign-off) and support go / no-go assessments.
Financial oversight
- Maintain oversight of the programme budget — actuals, accruals and forecasts — supporting reforecasting and variance reporting to the Sponsor and SteerCo (purchase-order, invoice and statement-of-work administration handled by the Programme Coordinator).
Systems & delivery coordination
No deep technical configuration is required, but the role stays close to delivery across the modules in scope:
- Stay across activity in the Workday modules (Financials / general ledger, Prism Analytics, Accounting Center, Expenses, Procurement and Accounts Payable) and the Kyriba treasury management implementation (cash and liquidity management, payments, bank connectivity and bank-statement reconciliation).
- Support testing and cutover readiness — keeping sight of phase test, end-to-end and UAT progress and cutover planning across the modules.
- Track FDM (Foundation Data Model) configuration and data-conversion progress and cohort sign-offs.
Skills & experience
Essential
- Project Manager and/or PMO Lead experience on large, complex ERP or finance-transformation programmes (Workday Financials strongly preferred; SAP S/4HANA, Oracle Fusion or comparable considered).
- A natural integrator across workstreams — able to build trusted relationships with delivery leads, read where delivery really stands, and step in to mobilise help where it is needed.
- Strong delivery and PMO discipline — planning and progress tracking in Smartsheet (or comparable PPM tooling such as Planview, Clarity or Jira), RAID and dependency management, governance and reporting.
- Board / SteerCo-level reporting — a proven ability to produce high-quality governance packs and management information to deadline.
- Excellent internal communications skills — able to write clearly, craft audience-appropriate narratives for senior and executive stakeholders, and run governance committee reporting.
- Stakeholder management and coordination — comfortable operating across business, finance, technology and external delivery partners.
- Financial oversight experience — programme budget actuals, accruals and forecasts, and variance reporting.
- Highly organised, proactive and delivery-focused — able to drive actions to closure and maintain momentum to a fixed deadline.
- A recognised project / programme qualification such as PRINCE2, P3O, MSP or APM (or equivalent demonstrable experience).
Desirable
- Workday experience — implementing or supporting Workday Financials, Prism Analytics, Accounting Center, Expenses and/or Procurement.
- Treasury systems — experience of a treasury management system implementation (Kyriba or comparable).
- Hands-on Smartsheet — building plans, dashboards and reports in Smartsheet.
- Sector experience — insurance, reinsurance broking or financial services, and familiarity operating in a regulated (e.g. FCA) environment.
- Change and communications — change-management exposure (e.g. PROSCI) and/or experience working alongside a change / communications workstream.
- Multi-entity transformation — experience of multi-country finance transformation and general-ledger consolidation or migration.
