Position Title: Hostel Warden
Department: Administration / Human Resources
Location: Coimbatore
Position Summary The Hostel Warden is responsible for overseeing the day-to-day administration, safety, and operational efficiency of the company hostel. This role is critical in enforcing discipline, maintaining a secure and hygienic living environment, and acting as the primary point of contact for resident welfare, facility logistics, and emergency response.
Key Responsibilities
1. Discipline & Code of Conduct
- Ensure all residents strictly comply with established hostel rules, regulations, and expected standards of conduct.
- Monitor resident behavior to maintain a disciplined, safe, and peaceful living workplace.
- Monitor daily attendance, adherence to entry/exit timings, and curfew regulations.
- Regulate visitor access, ensuring all guests are logged and follow hostel rules.
- Strictly prohibit and actively prevent the use of alcohol, drugs, smoking, gambling, or other unauthorized activities within the premises.
- Prevent bullying, harassment, violence, and any other unacceptable behavior.
- Protect company assets by ensuring residents do not damage hostel property; hold individuals accountable for any vandalism or negligence.
- Counsel residents on disciplinary issues and resolve interpersonal disputes in a fair and timely manner.
- Investigate complaints related to misconduct, take appropriate disciplinary action, and maintain detailed records of all incidents.
- Report reliable violations promptly to management or higher authorities.
- Conduct regular orientation and awareness sessions on hostel rules, safety, and mutual respect.
2. Operations & Administration
- Supervise the overall day-to-day operations of the hostel facility.
- Allocate rooms systematically and maintain accurate, up-to-date occupancy records.
- Conduct regular inspections of employee rooms, washrooms, and common areas to ensure high standards of hygiene.
- Coordinate internal housekeeping and maintenance teams to ensure the facility remains clean and functional.
- Manage and safely store all hostel records, registers, and operational documentation.
- Prepare periodic reports for management regarding hostel operations, disciplinary incidents, and preventative maintenance requirements.
- Organize welfare, recreation activities and engagement initiatives for residents.
- Liaise efficiently with company management, other internal departments, and parents/guardians (where applicable).
3. Health, Safety & Emergency Response
- Ensure the physical safety, security, and general well-being of all residents.
- Ensure the facility's strict compliance with health, general safety, and fire safety regulations.
- Handle resident complaints regarding infrastructure or personal challenges and resolve issues promptly.
- Coordinate closely with security staff and act as the first responder during medical, behavioral, or facility emergencies.
4. Logistics & Vendor Coordination
- Canteen Administration: Coordinate with food suppliers and catering staff to ensure food quality and immediately address any shortages or operational gaps.
- Transportation: Manage and monitor shuttle vehicle movement to ensure smooth transit for residents.
- Security Coordination: Monitor and coordinate with main gate security regarding authorized vehicle movement and material entry/exit.
5. Candidate Profile & Qualifications
- Education: Graduate in any discipline.
- Experience: Minimum 15 years of overall professional experience. Previous experience working as a Warden in an industrial establishment, manufacturing setting, or educational institution is highly preferred.
- Background Preference: Ex-servicemen (Armed Forces) or retired Police personnel are strongly preferred due to the disciplinary and security nature of the role.
- Age Criteria: 40 to 60 years.
- Key Skills: Strong authoritative presence, conflict resolution, administrative organization, emergency handling, and excellent interpersonal communication.
