Role & responsibilities
1. HR & Consultant Coordination
- Coordinate recruitment processes with the HR team after project approvals.
- Prepare interview schedules and support document verification.
- Share the list of selected consultants with HR before project commencement.
- Collect and verify KYC documents from consultants.
- Coordinate issuance, vetting, and acceptance of consultancy agreements.
- Follow up for submission of consultancy agreements, vendor forms, TDS declarations, and other onboarding documents.
- Coordinate with HR and Finance for vendor code creation.
- Monitor timely renewal of consultancy contracts and related agreements.
- Support Program Officers in preparing sanction notes and approvals related to Direct Intervention projects.
2. Financial Management & FMS Coordination
- Prepare monthly fund requisitions in coordination with the program team.
- Review consultant invoices, travel claims, and monthly work accomplishment reports.
- Process payment vouchers through the Financial Management System (FMS) after obtaining necessary approvals.
- Coordinate with Finance to ensure timely consultant payments.
- Raise advance requests and support expense settlements for field activities.
- Coordinate initiative creation and approvals as per the authorization matrix.
- Support donor financial and program audits by compiling required documentation.
- Coordinate periodic asset verification with field teams.
3. Procurement & Vendor Management
- Coordinate approved procurement requests with Administration and Finance.
- Prepare Purchase Orders in accordance with organizational SOPs.
- Ensure receipt and verification of invoices, delivery challans, and supporting documents.
- Process procurement-related payments through FMS.
- Track dispatch and delivery of materials to project locations.
- Coordinate with field teams for acknowledgements, distribution records, photographs, and closure documentation.
- Consolidate procurement closure reports and submit required documentation.
4. Program & Administrative Coordination
- Coordinate logistics for regional and inter-regional workshops and meetings.
- Maintain project documentation, reports, photographs, and donor records.
- Support timely settlement of field expenses during monthly and annual financial closures.
- Coordinate with field teams to ensure smooth implementation of project activities.
- Perform additional responsibilities assigned by the reporting manager.
5. IT Coordination
- Coordinate with IT teams for consultant email IDs and IT asset allocation.
- Ensure timely IT support for consultants and field offices.
- Liaise with regional IT teams for issue resolution and asset management.
Preferred candidate profile
- Bachelor's degree in Commerce, Business Administration, Social Work, Management, or a related discipline.
- 24 years of experience in operations, administration, finance coordination, NGO project management, or program support.
- Experience working with consultants, vendors, and cross-functional teams is preferred.
Skills & Competencies
- Strong coordination and stakeholder management skills.
- Excellent organizational and documentation abilities.
- Knowledge of invoice processing, procurement, and financial documentation.
- Proficiency in Microsoft Excel, Word, and PowerPoint.
- Ability to manage multiple priorities and meet deadlines.
- Robust written and verbal communication skills.
- High attention to detail and commitment to compliance.
