We are looking for a dynamic, technically strong and business-oriented professional to work directly with the Director in driving operational excellence, manufacturing performance, strategic initiatives and business execution across multiple manufacturing locations.
This is not a conventional Executive Assistant role. It is a high-impact techno-commercial position offering exposure to senior leadership, plant operations, strategic projects and cross-functional business management.
Position Summary The Executive Assistant to the Director will act as the Director's representative across manufacturing plants and corporate functions, ensuring effective execution of strategic and operational priorities.
The role requires an Engineering graduate with an MBA who possesses strong manufacturing, operations and business management expertise. The incumbent will serve as the key bridge between the Director, Plant Heads, Factory HODs and Corporate Teams, driving accountability, monitoring KPIs and ensuring timely execution of business objectives.
Key Responsibilities
Director's Office
- Work closely with the Director on strategic and operational initiatives.
- Coordinate and monitor execution of key business priorities.
- Prepare executive presentations, dashboards, business reviews and MIS reports.
- Track action items from management meetings until closure.
- Handle confidential assignments and strategic projects.
Factory Operations
- Coordinate with Plant Heads and HODs across Production, Maintenance, QA/QC, Projects, EHS, Purchase, Stores, Supply Chain and Logistics.
- Monitor daily production, operational performance and plant KPIs.
- Track production planning, capacity utilization,
productivity, downtime and efficiency.
- Follow up on operational bottlenecks and ensure timely resolution.
- Ensure implementation of the Director's instructions across manufacturing locations.
Project Management
- Monitor plant expansion, engineering and CAPEX projects.
- Track project timelines, milestones, budgets and deliverables.
- Coordinate with consultants, contractors and internal stakeholders.
- Escalate project risks and delays to the Director.
Manufacturing Excellence
- Support Lean Manufacturing, Kaizen, Continuous Improvement and Operational Excellence initiatives.
- Monitor OEE, process improvements, productivity and cost optimization projects.
- Track CAPA implementation and operational improvements.
Sales & Business Development Coordination
- Coordinate with the Domestic Sales & Business Development team to ensure timely execution of the Director's directives.
- Monitor daily/weekly Salesforce CRM updates, ensuring accurate and complete entries by the sales team.
- Track sales pipeline, customer follow-ups, quotations, order status and key action items, escalating delays where required.
- Prepare sales MIS, dashboards and performance reports for the Director.
- Drive accountability by ensuring timely closure of sales-related action items and CRM discipline.
Cross-Functional Coordination
- Act as the communication bridge between the Director, Factory HODs and Corporate Functions.
- Coordinate with HR, Finance, Commercial, Supply Chain, Production, Projects and Sales teams.
- Ensure timely execution of cross-functional projects and business priorities.
MIS & Business Analytics
- Prepare Daily,
Weekly and Monthly MIS reports.
- Analyze production, sales, inventory and operational data.
- Develop dashboards and KPI reports for leadership review.
- Present actionable insights and recommendations to the Director.
Meeting & Action Tracking
- Organize management and plant review meetings.
- Prepare agendas, Minutes of Meetings (MoM) and action trackers.
- Ensure timely follow-up and closure of all action items.
Education
Mandatory
- B.E./B.Tech (Chemical, Mechanical, Production, Industrial, Electrical, Instrumentation or related Engineering discipline)
- MBA (Operations, Supply Chain, Manufacturing, General Management or equivalent)
Experience
- 5 to 10 years of experience in manufacturing or process industries.
- Experience in Chemicals, Specialty Chemicals, Pigments, Dyes, Pharmaceuticals, Engineering or Process Manufacturing preferred.
- Strong exposure to factory operations and cross-functional coordination.
- Experience working with senior leadership or Directors will be an advantage.
