You will act as the Founder's voice across the organisation - delegating tasks on his behalf, following up relentlessly until they're closed, and coordinating BOTH BUSINESS & PERSONAL responsibilities. This is not a passive admin role. Your core job is to make sure things get done, on time, by everyone across the company. If you are someone who never lets a task slip, this role is for you.
Key Responsibilities
1. Maintain a live delegation sheet of every task assigned across the company; follow up daily until each is completed.
2. Take a firm completion commitment (date and time) from every team member when passing on a task.
3. Follow up with senior staff professionally and persistently, holding the line even when there is resistance.
4. Manage email and calendar study incoming mail, draft responses, and progressively take over correspondence.
5. Coordinate with clients, vendors and team members on the founder's behalf.
6. Conduct online research, prepare printouts and summaries, and organise information for decision-making.
7. Handle personal task coordination bookings, appointments, arrangements and errands.
8. Keep accurate records,
documents and trackers using Excel and Word.
Preferred candidate profile
- 3-5 years of experience as an Executive Assistant, Secretary or Office Coordinator, preferably to an MD/CEO/Director.
- EXCELLENT FOLLOW-UP SKILLS the single most important requirement.
- Working knowledge of MS Office / Google Workspace, especially Excel (VLOOKUP, pivot tables, linking sheets) and Word.
- Good command of written and spoken English able to draft professional letters and emails.
- Solid sense of ownership able to get work done from others without direct authority.
- High integrity and honesty (references will be checked).
- Job stability — a track record of steady tenure, not frequent job changes.
- Graduate; secretarial qualification a plus
- Resides within 30-45 minutes travel of the office.
- Should have graduated from a secretarial college.
Other Comfortable handling both professional and personal tasks for the CEO.
Discreet, reliable and able to represent the CEO's authority with professionalism.
