We are hiring for a Background Verification Specialist supporting UK, Europe & ROW regions within a Global HR Shared Services workplace.

Location: Pune / Bangalore (Hybrid)

Experience: 4-8 Years

Department: HR Shared Services / Talent Acquisition Operations

Region Supported: UK, Europe, Middle East, APAC, LATAM & Rest of World (ROW)

Role Overview

We are seeking an experienced Background Verification Specialist to manage end-to-end pre-employment screening and background verification processes across the UK, Europe, and ROW geographies.

The role will be responsible for ensuring timely completion of background checks, regulatory compliance, stakeholder coordination, vendor governance, and resolution of verification discrepancies while delivering an exceptional candidate experience.

The incumbent will work closely with Talent Acquisition, HR Operations, Compliance, Legal, Hiring Managers, and external screening partners to ensure all onboarding and client-specific screening requirements are fulfilled before candidate joining.

Key Responsibilities:

Background Verification Operations

- Manage end-to-end background verification activities across multiple global geographies.
- Initiate, monitor, and track background screening requests through external vendors and internal systems.
- Review completed screening reports for accuracy, completeness, and compliance.
- Analyze verification discrepancies and drive adjudication and resolution activities.
- Ensure all verification cases are completed within defined SLA timelines before onboarding.

Verification Management : Coordinate and validate:

- Identity Verification
- Right to Work Checks
- Employment Verification
- Education Verification




- Criminal Record Checks
- Address Verification
- Professional License Verification
- Credit Checks (where legally permissible)
- Reference Checks
- Global Sanctions & Watchlist Screening

Candidate & Stakeholder Management

- Serve as the primary point of contact for candidates regarding screening documentation and status updates.
- Collaborate with recruiters, HR Operations, onboarding teams, and hiring managers to ensure timely closure of verifications.
- Provide guidance on country-specific screening requirements and regulatory expectations.
- Manage escalations, discrepancies, and complex verification scenarios.

Vendor Management

- Coordinate with global background screening vendors and partners.
- Monitor vendor performance against agreed SLAs and quality metrics.
- Conduct governance reviews, audits, and operational discussions.
- Escalate delays, quality concerns, and operational risks impacting onboarding timelines.

Compliance & Risk Management

- Ensure compliance with:

- UK GDPR

- EU GDPR
- Local Employment & Labor Laws

- Data Privacy Regulations
- Client-specific compliance requirements
- Handle high-risk screening cases and exception management.
- Support internal audits, compliance reviews, and regulatory assessments.

Reporting & Analytics

- Prepare weekly and monthly governance reports and dashboards.

- Identify trends and recommend process improvements.

Process Excellence

- Drive automation, standardization, and continuous improvement initiatives.
- Maintain SOPs, process documentation, and knowledge repositories.
- Participate in HR digital transformation and system enhancement projects.

Required Qualifications:

- Bachelor's Degree in Human Resources, Business Administration, Psychology, or a related field.
- 4-8 years of experience in Background Verification, HR Operations, Employee Screening, Compliance Operations, or Shared Services.
- Experience supporting UK, Europe, or global screening processes.
- Strong understanding of employment screening regulations and onboarding compliance requirements.
- Experience working with third-party screening providers and case management systems.

Preferred Skills:

- Knowledge of UK GDPR, EU GDPR, and global data privacy regulations.
- Strong stakeholder and vendor management skills.
- Excellent analytical and problem-solving capabilities.
- Experience with HRIS systems (Workday, SuccessFactors, Oracle, SAP, etc.).
- Advanced reporting skills using Excel, Power BI, or reporting tools.
- Strong verbal and written communication skills.
