Job Description – Store Purchase Executive / Officer

Location: Pattabhi Agro Foods Pvt. Ltd.

Reports To: Plant Head / Purchase Head / Commercial Head

Employment Type: Full-Time

Experience: 3–8 Years (Manufacturing / Edible Oil / Poultry Feed / FMCG / Agro Industries Preferred)

Education

- Bachelor's Degree in Commerce, Business Administration, Supply Chain, or any relevant discipline.
- Diploma/Degree in Materials Management will be an added advantage.

Job Summary

Pattabhi Agro Foods Pvt. Ltd. is looking for a energetic and detail-oriented Store Purchase Executive to manage procurement activities, inventory control, vendor coordination, and store operations for our manufacturing plant. The ideal candidate should ensure uninterrupted availability of raw materials, engineering spares, packing materials, consumables, and general items while maintaining optimum inventory levels and complying with company policies.

Key Responsibilities

Purchase Management

- Raise Purchase Requisitions (PR) and Purchase Orders (PO).
- Source vendors and obtain competitive quotations.
- Compare quotations and prepare comparative statements.
- Negotiate prices, payment terms, delivery schedules, and contracts.
- Follow up with suppliers for timely delivery.
- Coordinate with production, maintenance, quality, and finance departments.
- Ensure procurement within approved budgets.

Vendor Management

- Develop and maintain reliable vendor database.
- Evaluate supplier performance based on:
- Quality
- Delivery
- Cost
- Service
- Identify alternate vendors for critical materials.
- Maintain long-term supplier relationships.

Inventory & Store Management

- Monitor stock levels of:

· Engineering spares

· Electrical items

· Mechanical spares





· Packing materials

· Chemicals

· Lubricants

· General consumables

· PPE and safety items

- Maintain minimum, maximum, and reorder stock levels.
- Prevent stock-outs and excess inventory.
- Ensure proper storage and material identification.

Goods Receipt & Issue

- Verify incoming materials against Purchase Orders.
- Coordinate inspection with Quality Department.
- Prepare Goods Receipt Notes (GRN).
- Issue materials against approved Material Requisition Slips (MRS).
- Maintain FIFO/FEFO practices wherever applicable.

Documentation

- Maintain all purchase records and files.
- Maintain supplier quotations and agreements.
- Record inward and outward stock movements.
- Prepare monthly purchase and inventory reports.
- Maintain statutory and audit documentation.

ERP / Software

- Update all purchase and inventory transactions in ERP/HRMS/Inventory Software.
- Generate reports related to stock, purchase, consumption, and aging inventory.
- Ensure data accuracy.

Cost Control

- Identify cost-saving opportunities.
- Reduce procurement lead time.
- Optimize inventory carrying cost.
- Monitor slow-moving and non-moving inventory.

Coordination

- Work closely with:
- Production
- Maintenance
- Quality Assurance
- Finance & Accounts
- Logistics
- Vendors
- Support annual physical stock verification and audits.

Compliance

- Follow company SOPs.
- Ensure statutory compliance related to procurement.
- Follow safety, quality, and environmental guidelines.
