The Project Coordinator is responsible for end-to-end coordination of customer projects, from measurement scheduling to production coordination and final installation, ensuring on-time execution, quality delivery, and customer satisfaction.
Key Responsibilities
1. Project Planning & Coordination
Receive confirmed orders from the Sales team.
Schedule site measurements in coordination with Measurement Executives.
Prepare and manage project timelines for each order.
Act as the single point of contact between Sales, Production, Inventory, and Installation teams.
2. Measurement & Quotation Support
Coordinate site visit schedules for measurement staff.
Ensure accurate measurement data and site photos are uploaded.
Verify measurement completeness before quotation preparation.
Resolve measurement-related clarifications with the sales team.
3. Production Coordination
Share confirmed orders with the Production team.
Track production status (planned, in progress, completed).
Ensure production aligns with committed delivery dates.
Flag delays or capacity issues to management in advance.
4. Installation & Site Execution
Plan installation schedules based on production completion.
Coordinate installers, tools, and site readiness.
Ensure quality standards during installation.
Collect site completion confirmation and customer sign-off.
5. Customer Communication
Update customers on measurement, production, and installation timelines.
Handle basic customer queries related to project status.
Escalate complaints or issues to the Sales Manager / COO when required.
6. Reporting & Documentation
Maintain project-wise records in CRM / project tracking system.
Prepare daily and weekly project status reports.
Track rework, delays, and complaints for review meetings.
7. Process Compliance & Improvement
Follow SOPs for measurement, production, and installation.
Ensure team compliance with timelines and quality standards.
Suggest process improvements to reduce delays and rework.
