The Executive Assistant supports the Director by coordinating with internal departments, tracking projects, managing communications, organizing meetings, and ensuring smooth execution of business priorities. The role acts as a central point of contact between the Director and various teams.
Key Responsibilities
Coordination & Communication
Serve as the primary liaison between the Director and internal teams.
Follow up with department heads and team members on action items and deadlines.
Ensure timely communication of management decisions and updates.
Coordinate cross-functional activities and resolve routine operational issues.
Project & Task Management
Track ongoing projects and prepare status updates for the Director.
Monitor deliverables, timelines, and team commitments.
Maintain project trackers, dashboards, and reports.
Escalate delays, risks, and bottlenecks when required.
Meeting Management
Schedule meetings, reviews, and internal discussions.
Prepare agendas, presentations, and meeting materials.
Record meeting minutes and track action items.
Follow up to ensure completion of assigned tasks.
Administrative Support
Manage the Director's calendar and appointments.
Organize documents, reports, and internal records.
Prepare MIS reports, summaries, and management presentations.
Coordinate travel arrangements and logistics when required.
Reporting & Documentation
Compile data from various departments for management review.
Generate weekly and monthly performance reports.
Maintain accurate documentation of processes, projects, and decisions.
