The PMO Head owns the organization's project management standards, governance framework, and portfolio health visibility across all business units (SBUs). This role operates in a federated model setting a consistent "control system" for how projects are run, while SBUs retain full business context and delivery ownership. The PMO Head acts as the early-warning system for risk, the custodian of PM discipline, and the driver of PM capability across the company.
Key Responsibilities:
Governance & Standards
- Define and maintain consistent PM standards: RAG definitions, risk/issue logs, escalation rules, kickoff/status/closure templates, and change-control processes.
- Ensure standards are applied uniformly across all SBUs without disrupting business-specific delivery workflows.
Portfolio Health & Visibility
- Own real-time visibility into schedule, scope, quality, margin, client sentiment, resourcing, and billing risk across the project portfolio.
- Run weekly/fortnightly project and portfolio reviews with SBU and executive stakeholders.
- Maintain accurate, up-to-date data in project tracking tools (e.g., NetSuite, Smartsheet, dashboards).
Escalation & Risk Management
- Establish clear escalation thresholds and early-warning triggers so issues are surfaced before they reach clients.
- Act as the primary escalation point between SBUs and executive leadership on cross-portfolio risks.
Capability Development
- Manage PM development centrally: structured training, coaching,
and performance expectations for project managers.
- Build a consistent PM competency framework across SBUs.
Commercial Discipline
- Track scope, effort, margin, milestones, billing triggers, and change requests (CRs) rigorously and consistently across projects.
Stakeholder Management
- Partner with SBU heads to balance standardized governance with business/client context.
- Provide executive leadership with cross-SBU portfolio risk reporting to support intervention on major escalations.
Accountability (RACI Snapshot)
- Accountable for: PM standards, escalation discipline, capability development
- Consulted on: Project delivery outcomes, resource allocation, scope changes, quality of deliverables
- Informed on: Revenue and margin performance.
Qualifications & Experience:
- Proven track record managing or governing multiple concurrent projects/programs
- Comfortable operating in a matrixed/federated organizational structure
- Robust communication skills able to translate portfolio risk into clear, actionable insight for leadership
