Subordinates Solo operation initially; local team to be built as business grows

Section 2: Key Responsibilities

2.1 Human Resources Management (HR)

- Manage the full-cycle recruitment for India branch local employees: job posting, resume screening, interview scheduling, onboarding procedures
- Manage employee lifecycle: onboarding orientation, probation tracking, confirmation evaluation, attendance management, exit procedures
- Handle employee relations: day-to-day communication, dispute mediation, leave approval, performance support
- Compensation support: assist HQ finance team with local employee payroll calculation (basic salary, allowances, overtime pay)
- Compliance management: ensure employee records and employment contracts comply with Indian local regulations
- Policy implementation: localize and communicate HQ HR policies within the India branch

2.2 Administration & General Affairs (Admin)

Office Leasing & Management:

- Assist Shanghai HQ in setting up an office or testing center in India, including negotiation, signing and renewal of factory/office lease agreements
- Day-to-day office maintenance, office supplies procurement and management, facility and equipment upkeep

Vendor Management:

- Coordinate and manage third-party service providers: property management, internet/IT, cleaning, security, etc.

Records Management:

- Safekeeping, updating and archiving of company licenses, seals, contracts and other important documents

Reception & Meetings:

- HQ visitor reception arrangements, meeting organization, minutes drafting

Day-to-day General Affairs:

- Courier dispatch/receipt, visitor reception, vehicle arrangements, meal coordination and other routine matters
- Admin expenses: execute day-to-day administrative spending per HQ budget, maintain expense records and organize receipts

2.3 Finance Coordination
Note: The company will engage a local CA (Chartered Accountant) firm to handle professional tax and accounting matters after this position is filled. This role does not require skilled tax/accounting knowledge only day-to-day coordination work.

- Day-to-day receipt management:



collect, classify and archive routine office expense receipts; transfer to CA firm on a regular basis
- Bank matters: handle routine company bank account operations (transfers, bank statement retrieval and other basic tasks)
- CA liaison: serve as the day-to-day contact between the company and the CA firm, relay documents and follow up on progress
- Expense reporting: periodically compile basic expense data and submit to HQ per finance module requirements
- Budget execution: execute day-to-day expense spending per HQ-approved budget; control expense appropriateness

2.4 Reporting & Communication

- Direct report: Shanghai HQ Chairman, Ms. Sun Lu
- HR / Admin module liaison: Shanghai HR & Admin Manager, Zhang Lingling (staff changes, recruitment, admin matters)
- Finance module liaison: Shanghai Finance Director, Xiang Hong (basic expense data, CA liaison progress, bank matters)
- Cross-timezone collaboration: adapt to China-India time difference (~2.5 hours); respond promptly to HQ work requests

Section 3: Qualification Requirements
3.1 Experience Requirements

HR ExperienceAt least 3 years of comprehensive HR management experience (recruitment / employee relations / attendance / payroll support)

Admin ExperienceAt least 2 years of office administration / general affairs management experience

Industry ExperienceExperience in manufacturing, trading companies or foreign enterprises preferred

Local ExperienceMust have India local work experience; understanding of local office practices and regulations

3.2 Education Requirements

- Bachelor's degree or above
- Any major; BBA / B.Com / MBA preferred
- Degree or certification in Human Resources Management or Law preferred

3.3 Skills Requirements
Note: No professional accounting software (Tally / QuickBooks, etc.) experience is required.

- Proactive and self-driven able to independently support full office operations in the initial phase
- Basic compliance awareness willing to learn and understand Indian local regulatory requirements

Section 4: Working Conditions

Section 5: Supplementary Notes
1. This is a core management role for the India branch. Initially, the incumbent will independently handle HR, admin and finance coordination for the India office.
2. Professional tax and accounting matters are handled by a CA firm engaged by the company. This position does not require in-depth tax/accounting knowledge.
3. The reporting structure follows a module-based approach (HR / Admin / Finance / Sales), with direct reporting to the Shanghai HQ Chairman.
4. Tool and skill requirements are streamlined: day-to-day office software + WeChat Work / Teams / Zoom / WeChat suffice; no specialized system experience is needed.
5. As the business develops, a local team will gradually be built, and this position will assume team management responsibilities.
