About the Role

We are seeking an experienced LearnDash LMS and WordPress contractor to support the development, configuration, maintenance, and ongoing improvement of our online education platform.

LearnDash experience is the primary requirement for this position. The ideal contractor will have solid experience working with LearnDash courses, lessons, topics, quizzes, groups, user enrollment, reporting, plugins, H5P activities, and student progression.

The contractor will also support our WordPress website, enrollment workflows, plugins, forms, CRM connections, APIs, webhooks, and related technical integrations.

This is an excellent opportunity for someone who is comfortable working independently, solving technical problems, documenting their work, and explaining technical matters clearly to a non-technical business owner.

Primary Responsibilities

LearnDash LMS Administration and Development

- Build, configure, and maintain LearnDash courses, lessons, topics, quizzes, and certificates.
- Configure course progression, prerequisites, completion requirements, and access settings.
- Create and maintain LearnDash Groups and cohort-based student enrollment.
- Manage student access, course assignments, completion records, and user roles.
- Troubleshoot LearnDash course progression, scoring, completion, and reporting issues.
- Configure and troubleshoot LearnDash-compatible plugins and add-ons.
- Test LearnDash updates and plugin changes before implementing them on the live website.
- Help maintain a consistent and user-friendly student learning experience.
- Support student dashboards, reporting, notifications, and certificate workflows.
- Identify opportunities to improve LMS performance, automation, and reliability.

H5P Activities and Interactive Learning

- Create, configure, and maintain H5P interactive learning activities.
- Develop knowledge checks, multiple-choice questions, interactive video activities, drag-and-drop activities, and other appropriate H5P content.
- Apply supplied branding, instructional content, and design standards.
- Configure H5P scoring, completion, attempts, feedback, and reporting.
- Troubleshoot H5P scores or completion data that are not transferring correctly to LearnDash.
- Test H5P activities on desktop, tablet, and mobile devices.
- Confirm that H5P activities function correctly within the student course experience.
- Support accessibility, usability, and consistent formatting across activities.

Plus if you have WordPress Frontend and Backend Support Experience

- Maintain and improve the WordPress website and LMS environment.
- Configure, update, test, and troubleshoot WordPress plugins.
- Diagnose plugin conflicts, display errors, user-access issues, and performance problems.
- Make frontend updates using HTML, CSS, JavaScript, and the applicable WordPress page builder.
- Make backend WordPress updates using PHP, WordPress hooks, filters, and custom functions when needed.
- Work safely with child themes, custom code, and plugin configurations.
- Maintain responsive layouts across desktop, tablet, and mobile devices.
- Assist with WordPress user roles, permissions, account creation, and access control.
- Maintain staging and production environments using appropriate backup and rollback procedures.

Forms, Enrollment, and Payment Workflows





- Support Gravity Forms enrollment and student-information workflows.
- Configure and troubleshoot multi-page forms, conditional logic, confirmations, notifications, and partial entries.
- Support Gravity Forms user registration and LearnDash enrollment workflows.
- Help maintain connections between Gravity Forms, Stripe, WordPress, and LearnDash.
- Troubleshoot failed payments, incomplete enrollment records, duplicate users, and missing course access.
- Verify that successful payments result in the correct WordPress account, LearnDash course access, and cohort assignment.
- Test workflows in staging or test mode before implementing production changes.
- Maintain clear logs and documentation for enrollment and integration issues.

APIs, Webhooks, and Integrations

- Build, configure, test, and troubleshoot REST API and webhook integrations.
- Work with JSON payloads, API keys, authentication tokens, headers, endpoints, and error codes.
- Use tools such as Postman or cURL to test integrations.
- Connect WordPress, LearnDash, Gravity Forms, Stripe, CRM systems, and other third-party platforms.
- Diagnose webhook failures, incorrect field mappings, authentication errors, and duplicate transactions.
- Implement logging, error handling, and duplicate-event prevention when appropriate.
- Protect API credentials and other confidential technical information.
- Document all integration workflows and required credentials without exposing passwords or sensitive data.

CRM Experience — Strongly Preferred

Experience with CRM platforms is a significant advantage.

Preferred experience includes:

- Salesmate
- HubSpot
- Zoho CRM
- Salesforce
- Pipedrive
- ActiveCampaign
- GoHighLevel or similar platforms

CRM responsibilities may include:

- Creating and updating contacts and deals.
- Mapping WordPress and enrollment-form fields to CRM custom fields.
- Updating pipeline stages and enrollment statuses.
- Passing payment, cohort, application, and LMS-access information to the CRM.
- Troubleshooting duplicate contacts, failed updates, and missing data.
- Supporting CRM workflow automations, API connections, and webhooks.

Direct Salesmate experience is a major plus but is not required if the candidate has strong experience integrating other CRM platforms.

Required Qualifications

- Demonstrated professional experience with LearnDash.
- Strong WordPress frontend and backend experience.
- Experience configuring LearnDash courses, groups, enrollment, progression, quizzes, and reporting.
- Experience creating and troubleshooting H5P learning activities.
- Experience managing and troubleshooting WordPress plugins.
- Working knowledge of PHP, HTML, CSS, and JavaScript.
- Experience with Gravity Forms or a comparable advanced WordPress form platform.
- Experience working with REST APIs and webhooks.
- Experience using JSON, API authentication, and integration-testing tools.
- Understanding of WordPress users, roles, permissions, and database structure.
- Ability to work in staging environments and follow backup and rollback procedures.
- Ability to troubleshoot technical issues independently.
- Strong written English communication skills.




- Ability to explain technical issues in clear, non-technical language.
- Reliable internet connection and computer equipment.
- Ability to maintain confidentiality and follow data-security requirements.
- Availability for scheduled meetings and collaboration during the required Pacific Time window.

Preferred Qualifications

- Experience with Salesmate CRM.
- Experience integrating WordPress with a CRM.
- Experience with Stripe and Gravity Forms Stripe integrations.
- Experience with Presto Player and Bunny Stream.
- Experience troubleshooting video progression or completion requirements.
- Experience with Git, GitHub, GitLab, or Bitbucket.
- Experience with WP-CLI, SFTP, SSH, hosting dashboards, DNS, SSL, caching, and CDN configuration.
- Familiarity with accessibility and responsive design standards.
- Experience supporting an education, training, membership, or online course platform.
- Experience documenting technical systems and creating step-by-step procedures.
- Familiarity with SCORM, xAPI, or Learning Record Stores is helpful but not required.

Work Expectations

This position will begin as a monthly contractor engagement of up to 40 hours per month.

The contractor must:

- Track and report time accurately.
- Obtain approval before exceeding the monthly hour limit.
- Provide a brief daily/weekly update outlining work completed, current issues, hours used, and next steps.
- Communicate promptly when an issue may affect students, payments, enrollment, or website availability.
- Test changes before applying them to the live website.
- Document all significant configurations, integrations, and code changes.
- Avoid editing the live website without an appropriate backup or rollback plan.
- Maintain an organized record of plugins, credentials, integrations, and technical dependencies.
- Be available for scheduled meetings or urgent troubleshooting during the 6:00–10:00 a.m. Pacific Time collaboration window.

The 40-hour monthly retainer does not necessarily require four hours of work each day. Hours will be assigned according to active projects, LMS development priorities, maintenance needs, and technical issues.

Monthly Retainer: for up to 40 hours per month.

Any hours beyond the monthly limit must be approved in writing in advance.

The initial engagement will include a review period. The role may expand into a larger part-time or full-time opportunity based on performance, technical ability, reliability, communication, and business needs.
