Position Summary

The Accounts & Finance Executive will be responsible for managing day-to-day accounting operations, financial reporting, statutory compliance, budgeting support, donor financial reporting, and ensuring adherence to organizational financial policies and applicable laws. The role requires a detail-oriented skilled with strong analytical skills and experience in NGO accounting and donor-funded projects.

Key Responsibilities

1. Financial Accounting

- Maintain books of accounts in accordance with accounting standards and organizational policies.
- Record and verify all financial transactions including receipts, payments, journal entries, and adjustments.
- Prepare bank, cash, and ledger reconciliations on a regular basis.
- Ensure timely closure of monthly and annual accounts.
- Maintain the fixed asset register and depreciation schedules.

2. Accounts Payable & Receivable

- Verify invoices, bills, and supporting documents before processing payments.
- Process vendor payments, employee reimbursements, and consultant payments.
- Monitor outstanding advances and ensure timely settlement.
- Maintain vendor and consultant records.

3. Budgeting & Financial Reporting

- Assist in preparing annual budgets and project budgets.
- Monitor budget utilization and prepare variance analysis reports.
- Prepare monthly, quarterly, and annual financial reports for management.
- Support donor financial reporting as per grant agreements.

4. Statutory Compliance

- Ensure timely compliance with TDS, PF, ESIC, Professional Tax, and other statutory requirements.
- Prepare and file statutory returns within prescribed timelines.
- Coordinate with Chartered Accountants

5. Payroll Support

- Assist in payroll processing.
- Coordinate with HR for payroll inputs.

6. Audit & Documentation

- Coordinate internal, statutory, donor, and project audits.
- Prepare audit schedules and provide required documentation.




- Ensure proper filing and maintenance of financial records.
- Implement audit recommendations and corrective actions.

7. Banking & Treasury

- Manage online banking transactions.
- Prepare bank reconciliation statements.
- Monitor fund availability and cash flow.
- Coordinate with banks for account-related activities.

8. Donor & Project Finance

- Maintain project-wise accounting records.
- Track project expenditures against approved budgets.
- Ensure compliance with donor guidelines and funding agreements.
- Prepare utilization certificates and donor financial statements.

9. Internal Controls

- Ensure compliance with finance policies, procurement policies, and internal controls.
- Verify supporting documents before releasing payments.
- Maintain confidentiality of financial information.
- Identify financial risks and suggest process improvements.

10. MIS & Reporting

- Prepare periodic MIS reports for senior management.
- Generate fund utilization reports.
- Support management with financial analysis and decision-making.

Qualification

- Bachelor's degree in Commerce (B.Com) (Mandatory)
- M.Com / MBA (Finance) / CA Inter

Experience

- 6–7 years of relevant experience in Accounts & Finance.
- Minimum 2–3 years of experience in an NGO, development sector, or donor-funded organization is preferred.

Technical Skills

- Strong knowledge of accounting principles and financial reporting.
- Experience with Tally ERP/Tally Prime or similar accounting software.
- Advanced Microsoft Excel (Pivot Tables, VLOOKUP/XLOOKUP, financial functions).
- Working knowledge of payroll processing and statutory compliances.
- Experience with donor accounting and project accounting.

Pay: ₹15,000.00 - ₹30,000.00 per month

- 75% (Preferred)
