Role Overview:
The Hostel Warden is responsible for the overall management and administration of the university hostel, ensuring a safe, secure, disciplined, and student-centric residential environment.
The role involves overseeing day-to-day hostel operations, maintaining discipline, promoting student welfare, ensuring cleanliness and hygiene, coordinating maintenance and security services, and addressing student concerns promptly. The Hostel Warden works closely with various university departments to ensure smooth hostel functioning, compliance with institutional policies, and a positive living experience that supports students & academic and personal development. The role also requires effective record management, emergency response, and continuous efforts to enhance the quality of hostel services and resident satisfaction
Key Responsibilities:
1. Hostel Administration & Operations
- Oversee the day-to-day operations of the hostel.
- Ensure strict implementation of hostel rules, regulations, and university policies.
- Monitor student discipline and maintain a conducive residential environment.
- Maintain daily attendance and movement registers.
- Conduct regular and surprise hostel inspections.
- Ensure proper room allocation and occupancy management.
- Monitor hostel occupancy and maintain updated records.
2. Student Discipline & Conduct
- Enforce hostel rules and code of conduct.
- Counsel students regarding discipline and responsible behaviour.
- Identify and resolve disciplinary issues promptly.
- Report incidents to the RM within prescribed timelines.
- Maintain confidentiality while handling disciplinary matters.
3. Student Welfare & Grievance Handling
- Act as the first point of contact for hostel residents.
- Address student complaints promptly and fairly.
- Maintain an updated complaint and grievance register.
- Conduct regular interaction meetings with hostel residents.
- Promote student well-being and positive hostel culture.
- Encourage student participation in maintaining hostel discipline and cleanliness.
4. Safety & Security
- Ensure a safe and secure environment for all residents.
- Coordinate with the Security Department for round-the-clock vigilance.
- Monitor visitor management and entry/exit registers.
- Ensure compliance with hostel access control procedures.
- Respond effectively to emergencies including medical, fire, and security incidents.
- Participate in emergency preparedness drills and safety awareness programs.
5. Hostel Maintenance & Hygiene
- Conduct routine inspections of:
- ➢ Student rooms
- ➢ Washrooms
- ➢ Corridors
- ➢ Common areas
- ➢ Dining areas
- Ensure cleanliness and hygiene standards are maintained.
- Report maintenance issues promptly.
- Coordinate with Housekeeping and Maintenance teams for timely rectification.
- Monitor pest control and sanitation standards.
6. Documentation & Record Management
- Maintain accurate records including:
- ➢ Student attendance
- ➢ Hostel occupancy
- ➢ Room allotment
- ➢ Visitor registers
- ➢ Gate passes
- ➢ Leave records
- ➢ Incident reports
- Complaint registers
- Inspection reports
- Maintenance logs
- Prepare and submit periodic reports to management.
7. Compliance
- Ensure compliance with University Hostel Rules.
- Follow institutional policies and SOPs.
- Maintain statutory records wherever applicable.
- Ensure hostel operations comply with safety and security guidelines.
8. Coordination
- Coordinate effectively with:
- ➢ Operations Department (Campus and Head Office)
- ➢ Security Department
- ➢ Housekeeping Team
- ➢ Maintenance Team
- ➢ Transport Department
- ➢ Student Affairs
- ➢ Academic Departments
- ➢ Parents/Guardians (where necessary)
9. Event & Operational Support
- Support hostel arrangements during university events.
- Coordinate student accommodation during admissions and orientation programs.
- Assist in logistics for student movement whenever required.
- Ensure uninterrupted hostel operations during institutional events.
10. Emergency Management
- Handle medical emergencies.
- Respond to fire and safety incidents.
- Coordinate evacuation procedures when required.
- Maintain emergency contact records.
- Ensure emergency equipment is accessible and functional.
Qualifications & Skills Required:
- Bachelor’s Degree from a recognized university.
- Strong leadership and supervisory skills
