Job Description – Purchase Manager

Position Overview

We are looking for an experienced and detail-oriented Purchase Manager to handle procurement operations for Flax. The candidate will be responsible for sourcing, vendor management, cost control, inventory coordination, and ensuring uninterrupted supply of materials across central kitchen and café operations. The role requires strong negotiation skills, analytical ability, and operational coordination to maintain quality standards and achieve food cost targets.

Key Responsibilities

- Manage end-to-end procurement for raw materials, packaging, kitchen supplies, café consumables, and operational items.
- Develop and maintain relationships with vendors and suppliers to ensure timely delivery and quality compliance.
- Negotiate pricing, payment terms, and contracts to achieve company cost-saving targets.
- Ensure purchase planning based on consumption trends, forecasts, and operational requirements.
- Monitor stock levels and coordinate with operations, warehouse, and production teams to avoid shortages or overstocking.
- Maintain vendor comparison sheets, purchase records, rate contracts, and procurement documentation.
- Conduct regular market analysis and identify alternative suppliers for better pricing and quality.
- Ensure all procurement activities comply with company SOPs and hygiene standards.
- Coordinate with accounts for invoice verification, payment follow-ups, and reconciliation.
- Track wastage, consumption variance, and procurement efficiency reports.




- Handle procurement for multiple outlets and support new outlet setup requirements when needed.
- Prepare MIS reports related to purchase trends, vendor performance, and cost analysis.

Key Result Areas (KRAs)

- Maintain overall food cost target of 25% or below.
- Ensure minimum stock variance and zero operational stock-outs.
- Achieve cost optimization through effective vendor negotiation and sourcing.
- Maintain vendor delivery and quality compliance above company standards.
- Submit weekly and monthly procurement analysis reports to management.

Required Skills & Qualifications

- Bachelor’s degree in Supply Chain, Commerce, Business Administration, or related field.
- Minimum 3–5 years of experience in purchase/procurement, preferably in F&B;, cloud kitchen, café, or hospitality industry.
- Strong knowledge of vendor management and inventory planning.
- Proficiency in Excel, Google Sheets, and procurement software/ERP systems.
- Valuable analytical, negotiation, and communication skills.
- Ability to work in a fast-paced operational environment.

Preferred Industry Experience

Candidates from cloud kitchens, QSR brands, cafés, restaurants, or hospitality procurement background will be preferred.
