The Executive – Medical Operations is responsible for coordinating day-to-day clinical and administrative activities to ensure smooth functioning of medical services. The role acts as a bridge between patients, doctors, RMOs, nursing staff, and other departments to ensure timely patient care, documentation, grievance resolution, and operational efficiency.

Key Responsibilities

1. Patient & Doctor Coordination

- Coordinate between patients, consultants, RMOs, and nursing teams for smooth patient care.
- Facilitate communication regarding treatment plans, investigations, and discharge processes.
- Address patient concerns and ensure timely resolution.

2. Patient Grievance Management

- Receive, investigate, and resolve patient complaints and service-related concerns.
- Coordinate with relevant departments for corrective actions.
- Maintain grievance records and prepare reports for management review.

3. Case Summary & Discharge Management

- Monitor preparation of case summaries and discharge summaries within defined TAT.
- Coordinate with consultants and RMOs for timely completion of medical records.
- Ensure complete discharge documentation before patient discharge.

4. Medical Records & File Clearance

- Verify completeness of patient files and documentation.
- Follow up for pending signatures, investigation reports, and discharge summaries.
- Ensure timely clearance and closure of patient records.

5. RMO & Duty Roster Management

- Prepare and maintain duty rosters for RMOs.
- Coordinate leave management, shift changes, and manpower allocation.
- Monitor attendance and ensure adequate coverage in all shifts.

6. Billing & Financial Coordination





- Coordinate with billing and insurance teams for patient billing-related issues.
- Resolve billing discrepancies in consultation with treating doctors and departments.
- Facilitate smooth discharge clearance from a billing perspective.

7. Operational Monitoring

- Track key operational indicators such as discharge TAT, case summary TAT, patient feedback, and grievance closure.
- Generate MIS reports and present findings to the Medical Superintendent.
- Support quality improvement initiatives and process optimization.

8. Compliance & Documentation

- Ensure compliance with NABH, statutory, and hospital policies.
- Maintain accurate records and documentation for audits.
- Assist in implementation of hospital protocols and SOPs.

9. Meetings & Coordination

- Coordinate departmental meetings and maintain MOMs.
- Follow up on action items assigned by the Medical Superintendent.
- Liaise with clinical and non-clinical departments for operational matters.

Educational Qualification

- Bachelor's Degree in Healthcare Administration, Hospital Management, Life Sciences, or a related field.
- Master's Degree in Hospital Administration (preferred).

Experience

- 2–5 years of experience in hospital operations, medical administration, or patient services.
