Hello!

We are looking for a Finance and Human Resource Specialist to join us as early as September 2026.

The Finance and HR Specialist is responsible across the Finance and Human Resource (HR) functions. Reporting to the Head of Personnel, Finance, IT and Administration, the role is responsible for financial administration, budgeting, payroll coordination, recruitment, HR administration and reporting while ensuring accuracy, compliance and efficient day-to-day operations. The role requires strong financial and analytical skills, attention to detail, discretion and the ability to manage multiple priorities in a dynamic international environment. Flexibility to occasionally support evening or weekend assignments is also expected.

You will join a small, collaborative team where no two days are the same. While you'll be our go-to person for finance, HR, administration and keeping us compliant, you'll also become part of a workplace that values curiosity, initiative and a healthy dose of humour.

We are looking for someone who enjoys bringing order to complexity, takes ownership of their work and isn't afraid to roll up their sleeves when needed. Accuracy is important but so is adaptability.

Key Responsibilities

Finance (60%)

- Preparation of annual budgets, financial forecasts, reports and analyses, and dashboards for management.

- Process invoices, expense claims, supplier payments and reimbursements in accordance with organisational procedures.

- Assist in monitoring budgets and tracking expenditure against approved allocations.

- Support project teams with project financial administration, including project openings, project closures, payment processing and financial reconciliations.

- Maintain accurate financial records and supporting documentation.

- Reconcile accounts and assist with monthly and year-end closing activities.

- Coordinate with external accountants, payroll providers, banks, GST office and financial institutions as required.





- File GST returns and ensure compliance with applicable tax and statutory requirements.

- Support procurement processes, including purchase orders, vendor management and contract documentation.

- Assist in ensuring compliance with financial regulations, internal controls and organisational policies.

- Maintain internal financial databases and filing systems.

- Contribute to continuous improvement of financial processes and documentation.

- Work effectively across different systems and cross-functional departments.

- Perform other ad-hoc duties and responsibilities assigned by the CEO | Consul General and by the Head of Personnel, Finance, IT and Administration.

Human Resources (40%)

- Manage end-to-end recruitment activities, including but not limited to posting vacancies, scheduling interviews, shortlisting and communicating with candidates, and supporting onboarding.

- Prepare employment contracts, HR letters and employee documentation.

- Maintain accurate and confidential employee records and HR databases.

- Support payroll preparation by coordinating employee data, leave records and salary-related information.

- Administer leave records, attendance tracking and employee benefits.

- Assist in coordinating performance review, and learning and development processes.

- Support employee engagement initiatives and internal HR communications.

- Ensure HR documentation complies with organisational policies and local labour regulations.

- Prepare HR reports and workforce data for senior leadership.

- Support offboarding activities, including documentation and clearance processes.

- Maintain and organise official records, files and archives in accordance with organisational standards.

- Perform other duties and responsibilities assigned by the CEO | Consul General and by the Head of Personnel, Finance, IT and Administration.

Requirements

- Indian citizen or legal resident of India.

- OCI holders will be conditional upon candidates obtaining a special work permit (Note: for requisite special permission to take up employment in any foreign diplomatic missions in India, OCI card holders must visit (https://ociservices.gov.in/).

- Bachelor's degree in Finance, Accounting, Business Administration, Commerce or a related field with a strong interest in Human Resources.

- Minimum 3 years of relevant experience in finance, accounting or a similar financial operations role.





- Experience working with accounting software, HR information systems and other official platforms.

- Knowledge of payroll administration and local labour regulations.

- Strong analytical and numerical skills.

- High attention to detail and accuracy.

- Excellent organisational and time management skills.

- Ability to handle confidential information with discretion.

- Strong written and verbal communication skills in English.

- Strong proficiency in Microsoft Excel and other Microsoft Office applications.

- Ability to work independently and effectively prioritise multiple urgent requirements.

- Willingness to work from the office.

- Problem-solving mindset with a proactive approach to continuous improvement.

- Strong interpersonal skills and a collaborative working style.

Additional Qualities

- Experience in a diplomatic mission or international organisation.

- Experience working with government authorities is an advantage.

- Experience with the Zoho suite.

- Knowledge of one or more Swiss national languages (German, French, Italian).
