Role Description

SECTION II: JOB SUMMARY

The Export & Import Manager will be responsible for handling all international trade activities related to BESS projects, including import of battery cells, modules, PCS, power equipment, and export of fabricated containers or systems. The role ensures compliance with global trade regulations, cost-effective shipping, timely clearances, and smooth coordination with suppliers, freight forwarders, customs authorities, and project teams.

Export & Import Operations

- Manage end-to-end export and import processes for BESS components (cells, modules, racks, PCS, containers, auxiliaries, etc.).

- Ensure smooth customs clearance, duty assessments, and documentation compliance for global trade.

- Liaise with freight forwarders, CHA (Custom House Agents), and logistics providers for optimal shipment planning.

- Prepare and verify all shipping & customs documents (Invoice, Packing List, COO, BL/AWB, HS Codes, LC documentation, etc.).

- Monitor cargo movement, track shipments, and ensure on-time delivery at project sites or warehouses.

Compliance & Regulatory

- Ensure compliance with DGFT, FEMA, IEC, EXIM policy, hazardous cargo (lithium batteries), and international shipping standards (IMO, IATA, UN3480, UN3481).

- Maintain updated knowledge of export-import laws, tariffs, FTAs, and country-specific requirements.

- Coordinate with internal compliance/legal team for licenses, permits, EPCG schemes, and documentation.

Vendor & Stakeholder Coordination

- Work closely with international suppliers for shipment planning and order execution.

- Coordinate with procurement, project,



and finance teams for documentation, LC management, and payment terms.

- Negotiate freight contracts with carriers and shipping lines to optimize costs and timelines.

Cost Control & Optimization

- Monitor freight, insurance, duty, demurrage, detention, and clearance costs.

- Implement cost-saving measures in logistics, packaging, and routing.

- Conduct periodic analysis of freight and duty costs to support budgeting and cost control.

Team Management & Reporting

- Lead a small team of logistics coordinators/assistants.

- Prepare MIS reports on shipments, costs, delays, and compliance.

Escalate critical issues to SCM Head/COO and recommend process improvements.

KRA

- 100% compliance with EXIM and customs regulations.

- On-time delivery of imported/exported goods without penalties.

- Reduction of logistics costs (freight, demurrage, detention).

- Accurate documentation and minimal discrepancies in customs filings.

- Strong vendor management and negotiation for favorable freight rates.

Qualifications

Bachelor’s degree in Supply Chain / International Trade / Commerce / Engineering. MBA preferred.

Technical Skills

Proficiency in SAP / ERP systems for EXIM documentation and tracking.

Experience levels required to execute this role

E.g. 2-5 yrs of experience as an Electrical Engineering in Battery/Solar Grid

Specific Experience

8–15 years of experience in Export-Import & Logistics management, preferably in Energy / EPC / BESS / Renewable sector.

Over all Experience

Behavioral skills / competencies required for the role. E.g. Attention to detail

Behavioral Skills

- Solid knowledge of customs laws, HS codes, DGFT policies, and hazardous cargo handling.

- Experience in handling lithium-ion batteries, power electronics, and containerized systems preferred.

- Proficiency in SAP / ERP systems for EXIM documentation and tracking.

- Excellent negotiation, communication, and problem-solving skills.
