Job Summary
The HR Executive – HR Audit & Compliance is responsible for ensuring adherence to labor laws, statutory requirements, company policies, and HR best practices. The role involves conducting HR audits, maintaining employee records, monitoring compliance obligations, supporting statutory inspections, and driving continuous improvement in HR processes and governance.
Key Responsibilities
HR Compliance Management
- Ensure compliance with applicable labor laws, employment regulations, and statutory requirements.
- Monitor and maintain compliance related to Shops & Establishment Act, Factories Act, Contract Labour Act, Minimum Wages Act, Payment of Wages Act, Payment of Bonus Act, Gratuity Act, Employees' Provident Fund (EPF), Employees' State Insurance (ESI), POSH, and other applicable legislation.
- Coordinate with legal, finance, and operations teams on compliance-related matters.
- Track changes in labor laws and communicate implications to management.
HR Audits
- Plan and conduct periodic internal HR audits.
- Review HR policies, procedures, records, and documentation for compliance and effectiveness.
- Identify compliance gaps, risks, and process improvement opportunities.
- Prepare audit reports with findings, recommendations, and corrective action plans.
- Monitor closure of audit observations and ensure timely implementation of corrective actions.
Documentation & Record Management
- Maintain employee files and statutory records in compliance with legal requirements.
- Ensure accuracy and completeness of HR documentation.
- Manage document retention and confidentiality requirements.
- Maintain audit-ready records for internal and external inspections.
Statutory Compliance & Inspections
- Support government inspections, labor audits, and statutory reviews.
- Coordinate submission of statutory returns and reports.
- Liaise with consultants and regulatory authorities when required.
- Ensure display and maintenance of statutory notices and registers.
HR Policy & Process Governance
- Review HR policies periodically and recommend updates.
- Ensure implementation and communication of HR policies across the organization.
- Support policy compliance awareness programs and training initiatives.
Employee Lifecycle Compliance
- Verify compliance documentation during onboarding and separation.
- Ensure employment contracts, appointment letters, confirmations, transfers, promotions, and exit documentation are maintained as per policy and legal requirements.
- Conduct periodic audits of personnel records.
HR Reporting & Analytics
- Prepare compliance dashboards and audit reports for management.
- Track compliance KPIs and risk indicators.
- Maintain records of corrective and preventive actions.
Required Qualifications
- Bachelor's Degree in Human Resources, Business Administration, Law, or related field.
- MBA/PGDM in HR or equivalent qualification preferred.
- Certification in Labor Laws, Compliance Management, or HR Auditing is an added advantage.
Experience
- 2-3 years of experience in HR operations, compliance, labor law administration, or HR auditing.
- Experience in manufacturing, industrial, engineering, logistics, or service sectors preferred.
