Mission: VP of Facilities & Operations

The VP of Facilities & Operations at TRIOS will be responsible for ensuring efficient, high-quality, and sustainable management of all coworking spaces, managed offices, and turnkey office interior projects. This role will focus on optimizing facility performance, cost efficiency, client experience, and operational scalability while maintaining TRIOS’ commitment to sustainability and innovation.

Outcomes (Key Objectives & Metrics for Success)

1. Facility Operations & Optimization (Ongoing)

✅ Ensure 99.9% uptime for all TRIOS coworking spaces and managed office facilities.
✅ Implement cost-saving initiatives to reduce operational expenses by 10-15% annually without compromising quality.
✅ Establish standard operating procedures (SOPs) for facilities management, maintenance, and emergency response.

2. Vendor & Asset Management (Ongoing)

✅ Oversee 100% vendor compliance with SLAs, ensuring high-quality facility maintenance, security, and housekeeping.
✅ Implement an asset tracking system to monitor office furniture, IT infrastructure, and other facility assets, optimizing usage and lifecycle management.
✅ Identify and onboard at least 3 new high-quality vendors per year to enhance service levels and cost-effectiveness.

Client Experience & Service Excellence (Ongoing)

✅ Maintain a client satisfaction score of 90%+ for facility operations and services.
✅ Develop and execute a proactive issue resolution system, ensuring that 90% of facility-related complaints are resolved within 24 hours.
✅ Implement technology-driven solutions (e.g., smart office management systems, IoT-based monitoring) to enhance the client experience.

4. Expansion & New Facility Setup (Ongoing)

✅ Lead the planning and execution of at least 2 new TRIOS facility launches per year, ensuring timely and budget-friendly rollouts.
✅ Develop scalable operational frameworks that allow TRIOS to expand its coworking and managed office footprint efficiently.
✅ Ensure that new locations achieve 80% occupancy within the first 6 months of operation.

5. Sustainability & Compliance (Ongoing)

✅ Ensure 100% adherence to safety, fire, and environmental compliance regulations in all TRIOS facilities.
✅ Implement at least 5 new green building practices per year, reducing energy and water consumption across locations.
✅ Partner with GreenPro-certified vendors and sustainable solution providers to enhance TRIOS’ environmental impact.

- Operational Leadership – Proven ability to manage multiple facilities and optimize operational efficiency.
- Facilities Management Expertise – Strong understanding of office infrastructure, security, housekeeping, and preventive maintenance.
- Vendor & Contract Negotiation – Skilled in negotiating contracts, managing vendor relationships, and optimizing service quality.
- Client-Centric Approach – Ability to enhance the customer experience through high-quality facility services.
- Cost Management & Budgeting – Experience in reducing operational costs while maintaining or improving service levels.
- Sustainability & Compliance Knowledge – Familiarity with eco-friendly practices, IGBC/LEED certifications, and regulatory compliance.
- Strategic Thinking & Scalability Planning – Ability to design operational frameworks that support business growth and expansion.
- Technology & Innovation Adoption – Knowledge of smart office solutions, IoT applications, and automation for facility management.
