Role & responsibilities
- Manage the Founder's calendar end to end, scheduling internal reviews, external meetings, investor conversations, and strategic sessions while balancing competing priorities and resolving conflicts as they arise.
- Prepare the Founder ahead of every engagement with agendas, briefing notes, and supporting material, ensuring each meeting begins with complete context.
- Attend meetings alongside or on behalf of the Founder, record decisions and action points accurately, and circulate clear summaries to the relevant stakeholders.
- Drive follow-through on commitments arising from these meetings, coordinating with department heads to ensure deadlines are met and progress remains visible.
- Plan and coordinate domestic and international travel, including itineraries, visas, accommodation, ground transport, and dining arrangements, and manage changes at short notice.
- Manage correspondence across email, telephone, and in-person channels on behalf of the Founder's office, exercising sound judgement on what requires immediate attention and what can be handled independently.
- Draft, edit, and format confidential documents, presentations, and reports to a standard appropriate for board, investor, and leadership audiences.
- Maintain well-organized records, trackers, and reminder systems for the Founder's office so that commitments, renewals, and recurring obligations are met without prompting.
- Coordinate qualified and personal appointments, along with associated vendors and service providers, with consistent discretion and reliability.
- Organize logistics for board meetings, leadership offsites, conferences, and company events, and oversee smooth execution on the day.
- Collate inputs and status updates from department heads into review-ready material ahead of leadership meetings.
- Act as an extension of the Founder's office by anticipating requirements, identifying gaps in communication or follow-up, and resolving them proactively.
- Uphold strict confidentiality across all business and personal matters concerning the Founder and the Directors.
Preferred candidate profile
- 8 to 10 years of experience as an Executive Assistant, preferably supporting a Founder, CEO, or CXO within a product, fintech, or financial services organization.
- Graduate in any discipline; a qualification in business administration or management is an added advantage.
- Demonstrated ability to manage a demanding calendar independently, prioritize effectively, and reorganize commitments under pressure without losing track of details.
- Hands-on experience coordinating domestic and international travel, including visa formalities, multicity itineraries, and last-minute changes.
- Excellent verbal and written communication skills in English and Hindi, with the ability to draft polished emails, notes, and summaries with minimal review.
- Strong working knowledge of MS Office and Google Workspace, particularly spreadsheets, presentations, and calendar and mail applications.
- A high degree of discretion, integrity, and maturity in handling sensitive business and personal information.
- Exceptional organizational skills, close attention to detail, and the discipline to follow tasks through to closure across multiple parallel priorities.
- A proactive, solutions-oriented approach, with the ability to anticipate requirements and act without direction.
- Confidence and poise in engaging with senior stakeholders, external partners, and service providers.
- Flexibility with working hours and responsiveness beyond standard hours when business or travel schedules require it.
- Composure and dependability under pressure, with a service-oriented mindset and a strong sense of ownership.
