- Role Overview
- The Operations Manager is responsible for the end-to-end planning and execution of
- corporate events, ensuring seamless delivery from production planning to post-event
- closure. The role oversees fabrication, technical production, branding, logistics, venue
- coordination, vendor management, budgeting, and on-ground execution while ensuring
- projects are delivered on time, within budget, and to the highest quality standards.
- The ideal candidate should possess excellent project management, vendor management,
- and team leadership skills, with the ability to manage multiple projects simultaneously in a
- rapid-paced environment. Flexibility to travel and work during overnight event setups is
- essential.
- Key Responsibilities:
- Production Planning
- Study client briefs and prepare detailed production plans and execution checklists.
- Prepare BOQs (Bill of Quantities) for fabrication, AV, branding, dcor, and event
- infrastructure.
- Develop production timelines, setup schedules, execution plans, and vendor
- deliverables.
- Prepare production layouts, including stage positioning, LED placement, branding
- zones, and engagement areas.
- Fabrication & Technical Production
- Plan and execute fabrication requirements, including stages, backdrops, stalls, kiosks,
- sets, installations, and dcor.
- Coordinate with fabrication vendors for production, quality checks, installation, and
- dismantling.
- Supervise all technical production, including LED walls, sound systems, lighting,
- projection systems, staging, trussing, and presentation equipment.
- Plan technical layouts covering power distribution, cable routing, screen placement,
- and stage technical requirements.
- Conduct technical rehearsals, sound checks, microphone testing, presentation
- testing, and show rehearsals.
- Ensure all production and technical elements comply with venue guidelines and
- safety standards.
- Venue & Vendor Management
- Identify and evaluate venues for conferences, launches, exhibitions, and corporate
- events.
- Conduct venue recce to assess technical feasibility, loading access, rigging points,
- power availability, and operational requirements.
- Coordinate with venue management for permissions, timelines, and operational
- support.
- Manage vendors across fabrication, AV, printing, dcor, logistics, gifting, and
- production services.
- Obtain quotations, negotiate commercial terms, finalize vendors within approved
- budgets, and monitor performance and deliverables.
- Logistics & Resource Planning
- Plan transportation and movement of production materials, branding assets, and
- technical equipment.
- Coordinate loading, unloading, dispatch schedules, installation timelines, and
- inventory management.
- Ensure timely availability of all production resources at event venues.
- Event Execution
- Lead on-site production activities from setup to event completion.
- Supervise stage construction, branding installation, AV setup, dcor, registration
- areas, backstage operations, and engagement zones.
- Manage production crews, technicians, fabricators, electricians, riggers, and
- installation teams.
- Monitor execution timelines, resolve operational challenges, and ensure flawless
- event delivery.
- Ensure all event elements are operational before the event begins.
- Coordination & Risk Management
- Work closely with Client Servicing, Creative, Design, and Project teams to execute
- approved event concepts.
- Identify operational risks and implement contingency plans.
- Ensure compliance with venue regulations, safety standards, and company SOPs.
- Resolve on-site operational issues while maintaining client satisfaction.
- Innovation & Continuous Improvement
- Identify new vendors, materials, production technologies, and fabrication
- techniques.
- Stay updated with industry trends in corporate events, stage production, and
- experiential marketing.
- Recommend improvements to enhance operational efficiency, quality, and cost
- optimization
- Post-Event Management
- Supervise dismantling of stages, branding, fabrication, and technical equipment.
- Ensure return of hired assets, vendor closure, and venue handover.
- Prepare post-event operational reports, project feedback, and lessons learned for
- future improvements.

- Flexibility to work weekends, public holidays, late nights, and overnight during event
- setup and execution.
