Job Summary
Vipul Organics Limited is looking for a detail-oriented and experienced Import Documentation Executive to manage end-to-end import documentation, customs coordination, and regulatory compliance for air and sea shipments. The ideal candidate should have hands-on experience in import logistics, DGFT schemes (EPCG & Advance Authorization), and coordination with freight forwarders, CHAs, and overseas suppliers.
Key Responsibilities:
- Handle complete import documentation for Air and Sea shipments.
- Prepare, verify, and maintain all import documents including Commercial Invoice, Packing List, Bill of Lading, Certificate of Origin, Insurance Certificates, and other shipping documents.
- Coordinate with Freight Forwarders, Shipping Lines, Customs House Agents (CHA), Banks, and Overseas Suppliers for seamless shipment execution.
- Track shipment movement and ensure timely customs clearance to avoid delays and demurrage.
- Manage imports under EPCG Scheme and Advance Authorization (Advance License) in compliance with DGFT regulations.
- Coordinate timely filing of Bills of Entry (BOE) and maintain complete import documentation records.
- Monitor Export Obligation (EO) fulfillment and license utilization under EPCG and Advance Authorization schemes.
- Coordinate LCL & FCL shipments, freight planning, and negotiate logistics costs with freight forwarders.
- Ensure correct application of Incoterms such as FOB, CIF, CFR, EXW, FCA, and other international trade terms.
- Coordinate with Finance for customs duty payments, foreign remittances, and documentation.
- Maintain shipment MIS,
import registers, and document archives.
- Ensure compliance with Customs, DGFT, Foreign Trade Policy (FTP), and statutory regulations.
- Resolve documentation discrepancies and shipment-related issues in coordination with internal and external stakeholders.
- Support internal audits and compliance requirements related to import operations.
Required Qualifications:
- Bachelor's Degree in Commerce, Logistics, Supply Chain Management, International Business, or related discipline.
- Certification in Import-Export Management will be an added advantage.
Experience
- 2 to5 years of experience in Import Documentation and International Logistics.
- Experience in Chemical, Pigments, Specialty Chemicals, Manufacturing, or Process Industry will be preferred.
- Hands-on experience handling DGFT schemes, Customs documentation, and international shipments.
Required Skills
- Solid knowledge of Import Documentation procedures.
- Experience with EPCG, Advance Authorization, and DGFT compliance.
- Knowledge of Customs clearance procedures and Bills of Entry.
- Understanding of Incoterms and international trade practices.
- Experience coordinating with Freight Forwarders, CHAs, Shipping Lines, and Banks.
- Excellent documentation and record management skills.
- Strong negotiation and coordination abilities.
- Good communication and stakeholder management skills.
- Proficiency in MS Excel, ERP systems, and shipment tracking tools.
- Ability to work under deadlines and manage multiple shipments simultaneously.
