ABOUT HENLEY RETAIL GROUP

Henley Retail Group is a UK-based retail consultancy and multi-site convenience store operator establishing a professional Head Office team in Vadodara.

The India Head Office will work directly with UK Directors, colleagues and Store Managers, supporting live UK retail businesses across operations, new store openings, finance, HR, compliance, reporting, technology and business improvement.

This is not a call-centre or routine processing role. We are creating a modern, clean and professional office environment where experienced employees are trusted with meaningful responsibility, direct access to senior decision-makers and genuine opportunities for long-term career progression.

ROLE SUMMARY

The Senior Store Operations Support Specialist will provide structured operational support to Henley Retail Group’s existing UK retail stores.

The role will act as a central point of contact for Store Managers, ensuring operational issues are properly investigated, allocated, followed up and resolved.

The successful candidate will coordinate suppliers, contractors, maintenance and operational projects while identifying recurring problems, risks, cost-saving opportunities and improvements to business processes.

This is a standalone specialist position. The successful candidate must be capable of managing the role independently without constant supervision.

KEY RESPONSIBILITIES

- Provide day-to-day operational support to Store Managers across multiple UK retail locations.
- Receive, assess and prioritise operational queries, maintenance issues and store support requests.
- Manage matters through the company’s ticketing, task-management and tracking systems.
- Coordinate planned and reactive maintenance with contractors, landlords, suppliers and service providers.

- Obtain and compare quotations, monitor approved works and ensure satisfactory completion.
- Support stores with utilities, broadband, waste, equipment, security systems and supplier-related matters.
- Maintain accurate records of issues, actions, communications, costs and completion evidence.
- Follow up overdue actions and ensure problems are not closed until they are fully resolved.
- Investigate recurring issues and identify the underlying cause rather than simply forwarding queries.
- Escalate material operational, financial, compliance or reputational risks promptly.
- Support store refits, equipment installations and operational improvement projects.
- Prepare clear updates, reports and recommendations for the UK Directors.
- Identify opportunities to improve service, reduce costs and standardise processes across stores.
- Work closely with Finance, Compliance, IT, HR and other Head Office functions where specialist input is required.

ESSENTIAL EXPERIENCE AND SKILLS

- Minimum 10 years of relevant experience in retail operations, multi-site operations, facilities coordination, store support or service delivery.
- Proven experience resolving operational issues across multiple sites or departments.
- Strong supplier, contractor and stakeholder-management experience.
- Excellent spoken and written English.
- Strong organisational, prioritisation and follow-up skills.
- Confident using Microsoft Excel, Outlook, Teams and task or ticket-management systems.
- Ability to produce clear skilled correspondence and management updates.
- Experience supporting UK, European, US or other international operations would be advantageous.
- Retail or convenience-store experience is strongly preferred.

REQUIRED CANDIDATE STANDARD

Henley Retail Group requires a mature,

professional and independently capable individual.

This role is not suitable for someone who simply agrees with instructions, waits to be managed or avoids challenging senior colleagues.

The successful candidate must think critically, ask questions and challenge decisions or assumptions respectfully, including those made by Directors, when something appears incorrect, incomplete or unlikely to work.

The candidate must:

- Manage their own time, workload, priorities and schedule without close supervision.
- Take full responsibility for tasks and follow matters through to completion.
- Identify risks and problems early and recommend practical solutions.
- Investigate issues thoroughly rather than simply passing them to somebody else.
- Communicate confidently and professionally with Store Managers, suppliers and UK Directors.
- Be honest and accountable, particularly when errors or problems arise.
- Work effectively independently while collaborating with the wider team.
- Remain dependable, committed and interested in long-term career growth.
- Maintain high standards of accuracy, confidentiality and professionalism.
- Remain calm and organised when priorities change or urgent issues arise.

These requirements are essential and will be tested during the recruitment process.

MEASURES OF SUCCESS

- Operational issues are resolved accurately and promptly.
- Maintenance and contractor works are completed within agreed timescales.
- Outstanding actions are owned and followed through to completion.
- Risks and recurring problems are identified early.
- Records and communications are accurate and professional.
- Store Managers and Directors provide positive feedback.
- Operational processes and service quality continue to improve.
- Routine operational matters require less Director involvement.
- The role contributes to cost control, consistency and improved store performance.
