ABOUT HENLEY RETAIL GROUP

Henley Retail Group is a UK-based retail consultancy and multi-site convenience store operator establishing a professional Head Office team in Vadodara.

The India Head Office will work directly with UK Directors, Head Office colleagues and Store Managers, supporting live UK retail businesses across technology, systems, reporting, operations, compliance and business improvement.

Artificial intelligence will be central to how Henley Retail Group develops its Head Office. We intend to use AI, automation and connected business systems to reduce manual work, improve decision-making, strengthen controls and create scalable processes across the organisation.

This is not a basic IT helpdesk or call-centre position. We are seeking a highly intelligent, commercially aware and technically capable professional who can help design the systems on which the business will operate and grow.

ROLE SUMMARY

The Senior AI, Systems & Automation Specialist will lead the practical use of AI, automation and connected technology across Henley Retail Group’s UK stores and India Head Office.

The role will use platforms including n8n, Supabase, Microsoft 365, Monday.com, Power Automate, Power BI and advanced Excel to build secure workflows, internal applications, databases, reporting tools and AI-assisted business processes.

The successful candidate must be deeply engaged with modern AI tools and capable of assessing new technologies quickly. They must understand business requirements, identify where AI can create genuine value and turn ideas into reliable working solutions.

This is a standalone specialist role requiring exceptional intelligence, curiosity, technical judgement and personal ownership. The successful candidate must operate independently without constant supervision.

KEY RESPONSIBILITIES

- Lead the identification and implementation of practical AI opportunities across the business.
- Design AI-assisted workflows that improve speed, accuracy, reporting and decision-making.
- Build and maintain n8n workflows connecting internal systems, external platforms, APIs and AI services.
- Use Supabase to support internal databases, applications, authentication, storage and secure access to business information.
- Design appropriate PostgreSQL data structures, relationships and access controls within Supabase.
- Develop internal tools, portals and lightweight applications that improve Head Office and store operations.
- Integrate systems using REST APIs, webhooks, connectors and approved technical methods.
- Evaluate and use generative AI, AI agents and large language models for suitable business processes.




- Develop controlled prompt workflows, structured outputs and human-review processes.
- Ensure AI systems do not produce unchecked, unreliable or inappropriate business actions.
- Administer Microsoft 365 users, licences, permissions, Teams, SharePoint, OneDrive and Outlook.
- Develop Power Automate, Power Query, Power BI and advanced Excel solutions.
- Build and maintain Monday.com boards, forms, dashboards, ticket workflows and automations.
- Support technical administration for Cashbook, Taqtics and other operational platforms.
- Map existing processes before automating them and remove unnecessary steps where appropriate.
- Investigate system issues and identify root causes rather than applying repeated temporary fixes.
- Test all technical and AI changes before release and maintain rollback or recovery arrangements.
- Maintain documentation covering systems, integrations, databases, workflows, credentials and changes.
- Train colleagues to use AI and business systems effectively and responsibly.
- Monitor workflow performance, failed automations, data quality and security risks.
- Measure the time saved, costs reduced, errors prevented and controls improved through automation.
- Research emerging AI and automation technologies and recommend those with a clear business benefit.

ESSENTIAL EXPERIENCE AND QUALIFICATIONS

- Minimum 10 years of relevant systems, technology, software, data or automation experience.
- Strong, recent and practical experience using AI within real business processes.
- Evidence of building AI-assisted workflows, tools or internal applications.
- Strong practical experience using n8n for workflow automation and system integration.
- Practical experience using Supabase, PostgreSQL or a comparable backend platform.
- Experience working with databases, authentication, permissions, APIs and webhooks.
- Strong API integration and business-process automation experience.
- Experience using generative AI tools, AI agents, prompt engineering and structured AI outputs.
- Strong Microsoft 365 administration experience.
- Experience with Power Automate, Power BI, Power Query and advanced Excel.
- Experience administering Monday.com or a comparable workflow-management system.
- Strong technical troubleshooting and root-cause analysis skills.
- Sound understanding of cyber security, confidential data and access control.
- Ability to translate unclear business requirements into practical technical solutions.
- Experience supporting a UK, European, US, Australian or other international business is strongly preferred.
- Excellent spoken and written English.
- A technical degree or equivalent skilled experience is preferred.

- Take full responsibility for systems and workflows from initial idea through to reliable operation.
- Explain complex technology clearly to Directors and non-technical colleagues.
- Identify opportunities proactively rather than waiting to be told what to automate.
- Remain honest and accountable when a system, workflow or deployment fails.
- Demonstrate commitment, stability and a genuine desire to help build the long-term technology capability of Henley Retail Group.

COMPENSATION

Fixed annual salary: 10,00,000

Performance-related variable pay: Up to 20%

Maximum annual variable: 2,00,000

Maximum total annual earning opportunity: 12,00,000
