Warehouse Incharge Job Summary
· The Warehouse Incharge shall be responsible for the overall management and smooth functioning of the warehouse operations. The role includes inventory management, storage, inward and outward material handling, packing, dispatch of products across India, supervision of warehouse staff, maintaining documentation, and ensuring efficient, safe, and timely operations while adhering to the Company's policies and procedures.
Key Responsibilities
1. Inventory Management
· Maintain accurate inventory records of all products, spare parts, accessories, and consumables including return / sample / exhibition products.
· Ensure physical stock matches system records through regular stock verification and cycle counting.
· Monitor stock movement and maintain proper inventory controls to prevent shortages, excess stock, damage, or pilferage.
· Coordinate with the procurement and sales departments regarding stock availability and replenishment.
· Prepare and submit inventory reports on a periodic basis.
2. Warehouse Operations
· Ensure proper storage, identification, and segregation of materials.
· Maintain warehouse cleanliness, organization, and safety standards.
· Optimize warehouse space for efficient storage and easy retrieval of products.
· Ensure compliance with FIFO/FEFO or any inventory management system adopted by the Company.
· Monitor the condition of stored products and take preventive measures against damage or deterioration.
3. Packing & Dispatch
· Plan and supervise the packing of products as per company standards.
· Ensure accurate and timely dispatch of products to dealers, distributors, customers, and project sites across India.
· Coordinate with transporters, courier agencies, and logistics partners for timely deliveries.
4. Team Management
· Supervise, allocate, and monitor the daily work of warehouse staff.
· Ensure discipline, attendance, productivity,
and productive utilization of manpower.
· Train warehouse personnel on warehouse procedures, safety practices, and operational standards.
· Conduct regular performance reviews and recommend improvements wherever necessary.
· Foster teamwork and maintain a positive working environment.
5. Operational Coordination
· Coordinate with Sales, Procurement, Accounts, Service, and Management for seamless warehouse operations.
· Ensure timely processing of inward and outward material.
· Resolve operational issues promptly to avoid delays in dispatches and deliveries.
· Support management during audits and inspections.
6. Documentation & Compliance
· Maintain proper records of inward receipts, dispatches, stock transfers, returns, and damaged goods.
· Ensure compliance with statutory requirements relating to warehouse operations.
· Maintain all warehouse registers, reports, and documentation accurately.
· Assist in internal and external audits.
7. Safety & Security
· Ensure adherence to warehouse safety procedures.
· Prevent theft, pilferage, and unauthorized movement of materials.
· Report any incidents, damages, shortages, or safety hazards immediately.
· Ensure proper maintenance of warehouse equipment and infrastructure.
8. Continuous Improvement
· Identify opportunities to improve warehouse efficiency, reduce operational costs, and enhance productivity.
· Recommend improvements in warehouse layout, storage methods, and operational processes.
· Implement management-approved process improvements.
Key Performance Indicators (KPIs)
· Inventory accuracy.
· Timely order processing and dispatch.
· Zero stock discrepancies beyond permissible limits.
· Reduction in damaged or lost inventory.
· Efficient manpower utilization.
· On-time delivery performance.
· Warehouse cleanliness and compliance.
· Customer and dealer dispatch satisfaction.
· Qualifications
· Graduate in any discipline (preferred).
· Diploma or certification in Supply Chain, Logistics, or Warehouse Management will be an added advantage.
· Experience
· 4–8 years of experience in warehouse operations, inventory management, logistics, or supply chain management.
· Experience in handling pan-India dispatch operations is preferred.
· Required Skills
· Strong knowledge of inventory management.
· Excellent warehouse administration skills.
· Leadership and team management abilities.
· Knowledge of dispatch documentation, GST documentation, and e-way bills.
· Proficiency in MS Excel and ERP/Inventory Management Software.
· Good communication and coordination skills.
· Strong analytical and problem-solving abilities.
· Ability to work under pressure and meet dispatch deadlines.
· Authority
· The Warehouse Incharge shall have the authority to:
· Allocate work among warehouse staff.
· Recommend process improvements.
· Coordinate with logistics partners for dispatch planning.
· Report operational issues directly to Management.
· General Responsibilities
· Perform any additional duties assigned by the Management from time to time.
· Maintain confidentiality of all Company information.
· Uphold the Company's values, policies, and code of conduct at all times.
· Ensure efficient, cost-effective, and uninterrupted warehouse operations while supporting the Company's business objectives.
