Job Title: Procurement Manager

About the Role:

TPIF Gifts LLP (The Perfect Impressions Factory) is looking for a proactive and detail-oriented Procurement Manager to lead sourcing, vendor management, inventory planning, and procurement operations. The ideal candidate will ensure timely procurement of quality materials, optimize costs, and support seamless production and order fulfillment for our premium gifting business.

Qualifications:

- Graduate in Supply Chain, Operations, Commerce, or related field.
- 3–8 years of experience in Procurement, Vendor Management, or Supply Chain.
- Experience in gifting, retail, FMCG, packaging, manufacturing, or e-commerce is preferred.

Key Responsibilities:

- Manage end-to-end procurement of gifting products, packaging materials, office supplies, and operational requirements.
- Identify, evaluate, and onboard current vendors to ensure quality, competitive pricing, and timely deliveries.
- Build and maintain strong relationships with suppliers, manufacturers, and distributors.
- Negotiate pricing, payment terms, contracts, and delivery schedules to achieve cost savings.
- Conduct regular market visits to source new products, packaging materials, and alternate vendors.
- Obtain and compare quotations from multiple suppliers before finalizing purchases.
- Coordinate with warehouse, production, and sales teams to ensure timely availability of materials.
- Monitor inventory levels and plan procurement to prevent stock shortages and overstocking.
- Work closely with the warehouse team to ensure proper inward, storage, and stock reconciliation.
- Verify incoming materials against quality standards and coordinate replacements for defective items.
- Raise Purchase Orders (POs), track purchase requests,



and maintain procurement documentation including GRNs, invoices, and vendor records.
- Ensure accurate procurement records and maintain an organized vendor database.
- Prepare procurement MIS reports, purchase analysis, and vendor performance reports.
- Track procurement budgets and identify opportunities for cost optimization without compromising quality.
- Coordinate with the Accounts team for invoice verification and timely vendor payments.
- Ensure procurement activities comply with company SOPs and internal processes.
- Support new product sourcing and seasonal procurement for festive and corporate gifting projects.
- Monitor supplier performance and develop alternate sourcing strategies to minimize procurement risks.
- Collaborate with logistics partners to ensure timely delivery of purchased materials.
- Drive continuous improvement in procurement processes to enhance efficiency, quality, and cost control.
- Stay updated on market trends, new suppliers, and innovative products relevant to the gifting and packaging industry.

Skills & Competencies:

- Strong negotiation and vendor management skills.
- Knowledge of procurement, inventory planning, and supply chain processes.
- Familiarity with ERP or other Inventory Management Software is mandatory.
- Proficiency in Microsoft Excel and Google Sheets.
- Excellent communication, analytical, and problem-solving skills.
- Ability to work in a fast-paced, deadline-driven environment.
