Job Title: Office Manager / Assistant Office Manager
Location: Pune, Maharashtra, India
Reports to: Operations Manager
Working Mode: 5 Days in office (Full-Time)

We specialise in creating high-quality Architectural digital experiences and producing immersive visual content for UK residential developers. Our Pune studio operates across two floors and around 8 production PODs, each working collaboratively to deliver 3D visualisation, CGI renders, and virtual tours. Role Summary
We are looking for a senior, mature, and high-ownership Office Manager / Assistant Office Manager to bring structure, discipline, and smooth day-to-day operations to our Pune studio. This person will oversee the studio floor across all 8 production PODs on both floors — ensuring punctuality, process adherence, and a professional, disciplined working environment — without micromanaging the creative or technical work owned by POD Facilitators and production leads. Beyond the floor, this person will also manage office infrastructure, the housekeeping (HK) agency, and other facility vendors, acting as the calm, dependable backbone of daily studio operations.
Key Responsibilities
- Floor Discipline & Punctuality: Ensure all employees are seated and beginning work punctually at 9:30 AM sharp across both floors, addressing lapses directly, firmly, and respectfully as they arise.
- Process & Checklist Adherence: Walk the floor regularly across all 8 PODs to confirm production teams are following defined processes, SOPs, and checklists, flagging any deviations to the relevant POD Facilitator or HR.
- Staff Supervision (3D Production): Oversee general workplace conduct, professionalism, and floor etiquette across production staff, while staying clear of creative or technical production decisions,
which remain owned by POD Facilitators.
- Two-Floor Coordination: Maintain a consistent, visible presence across both floors so that standards, cleanliness, and operational rhythm remain uniform studio-wide, not concentrated on one floor.
- Office Infrastructure Management: Oversee the upkeep of workstations, furniture, seating plans, meeting rooms, and general office facilities, coordinating repairs and maintenance promptly so production is never disrupted.
- Housekeeping (HK) Agency Management: Manage the relationship with the outsourced housekeeping agency — staffing levels, daily quality checks, schedules, and quick resolution of any lapses in upkeep.
- Vendor & Facilities Coordination: Liaise with other third-party vendors — security, pantry/cafeteria, courier, AMC providers, and similar — to ensure office operations run without interruption.
- Admin & Compliance Support: Support HR and Operations with day-to-day administrative tasks such as visitor management, access control, asset movement, and ID card issuance.
- Escalation & Reporting: Maintain a simple, consistent log of floor discipline issues, facility issues, and vendor performance, escalating recurring or serious matters to the Operations Manager or Directors.
- Culture & Tone Setting: Act as a calm, senior, approachable authority figure on the floor — someone employees respect rather than fear — reinforcing studio culture and the P.I.X.E.L values in everyday conduct.

Essential Skills & Experience
- Experience: 8–12+ years in office administration, facilities/operations management, or floor supervision within a mid-to-large organisation,
ideally a 100+ seat setup.
- Floor Supervision Background: Demonstrated experience supervising floor-based teams — whether in a BPO/ITES environment, studio/production floor, back-office operations, or similar — even if not a manufacturing shop floor.
- Vendor & Facilities Management: Proven track record managing housekeeping agencies, security vendors, and day-to-day office facilities end-to-end.
- Maturity & Gravitas: Senior enough in experience and presence to command natural respect on the floor without needing to raise their voice or micromanage.
- Communication: A firm, clear, and calm communicator, comfortable having direct conversations about discipline and standards without creating friction.
Education
- Education: Graduate in any discipline; additional certification in facilities or office management is an advantage.
