Job Description:

System Maintenance
 Prepare and Maintain Apex Manual (Manual on QMS, EMS and OHSMS / IMS)
 Prepare, maintain Document & Data Control (IMS) - Hard copy & Electronic Media.
 Updation of Corporate Master list of Documents
 Ensure Updation of Master list to document at each site (through Site MR)
 Ensure the mandatory MRM points are addressed in MRM records
 Closure of actionable System related MRM points.
 Schedule and Conduct Internal Audits on IMS & other management systems.
 External IMS certification Audits & other Management systems –
o Coordinate for Audit scheduling
o Coordinate with all functional HODs, site heads at Plants and Corporate HODs
o Communicate final audit agenda
o Communicate with certification Authority on findings & CAPA response
 Follow up with Auditees for closure of Audit findings, obtain CAPA.
 Provide support to functional Teams in preparing system documentation.
 Prepare Auditsummary and System performance report after each Internal Audit
 This PPT to be made part of MRM record.
System Development




 Update the systems as per changing needs of the business and ISO standards
 Prepare systems on SharePoint in place of paper formats
 Integration of various standards in a Single system (procedures)
 Support to Business Excellence and Operational Excellence team.
Certification Process
 QRF submission to auditing agency for commercial offer. Negotiate best price. (if required obtain
one additional offer for comparison.
 Coordinate with Dept HOD for finalizing the offer & send acceptance to certification agency.
 Update Oracle master with agency details, create PR & coordinate for PO release.
 Participate in Audit process, visit to the sites as per plan (for External IMS audits)
 Ensure payment to the agency after audit completion
 Ensure Audit report is obtained from the agency after audits
 Follow up for certificates.
 Maintain hard copy of certificates, upload copy on SharePoint and provide the same to al
