Key Responsibilities
Manage Classes and Scheduling Plan and publish class schedules; resolve conflicts, reschedules, and cancellations end-to-end; publish the weekly schedule to every faculty member and student group.
– Student onboarding—set up new students: WhatsApp group, resource folder access, progress tracker, portal and mock-test logins, and flashcard dispatch; schedule diagnostic tests and demo classes and follow up until complete.
– Communication—be the first point of contact on WhatsApp and phone for students, parents, and faculty; respond promptly in clear, skilled English; handle cancellations and complaints calmly; escalate what needs escalating.
– Records & reporting—maintain student details, attendance, fee and payment records, and faculty availability and class records; produce daily and weekly operations reports; coordinate with accounts.
– Faculty coordination—collect and update fixed weekly availability, collect attendance accurately for payouts, and support new-faculty onboarding.
– Progress monitoring—check that faculty update student trackers on time, follow up where they have not, and flag students falling behind on mock tests.
– Office administration — supplies and inventory, couriers and document handling, digital and physical filing,
incoming calls and visitors, and event logistics.
Must-Haves
– Spoken English—able to hold a full phone conversation with a student or parent, understanding the first time and responding clearly and confidently.
– Written English — able to write a correct, skilled WhatsApp message or email without correction.
– Speed — works quickly and closes things out; scheduling is part of the job, not the whole day.
– Attention to detail—a wrong time, link, or email address means a class does not happen.
– Computer proficiency—genuinely comfortable with Excel or Google Sheets (sorting, filtering, basic formulas), Word or Docs, email, and calendar applications.
– Ownership and judgement — acts sensibly and communicates when something goes wrong and no one is available to ask.
– Graduate in any discipline.
Good to Have
– 1–3 years in an administrative, coordination, or front-office role — education, healthcare, or professional services preferred.
– Experience with a CRM or student management system.
– Experience handling WhatsApp Business at volume.
– Basic design ability in a tool such as Canva.
– Working knowledge of Bengali and Hindi alongside English.
