Role & responsibilities:
Support all aspects of employee transport operations at The Client at Powai, ensuring safe, reliable, cost-effective, and fully documented service delivery. Manage efficient daily routing, vendor coordination, roster management, and compliance with all contractual and statutory requirements while maintaining 24/7 transport support.
Key Responsibilities:
- Prepare, review, and manage daily and shift-wise transport rosters for employee pick-up and drop, ensuring vehicles are dispatched on time
- Record start times, mileage, kilometer readings, driver details, staff boarding times, and initial pick-up times accurately for documentation
- Ensure only authorized employees listed on roster sheets are transported as per approval protocols and process requirements
- Monitor vehicle departure times and ensure each vehicle leaves at exact appointed time with complete trip documentation
- Support maintenance of 24/7 transport helpdesk by logging calls, assisting with queries, and documenting urgent requests efficiently
- Track trip progress in real-time and report any incidents, speeding cases, delays, or exceptions immediately to Transport Helpdesk
- Communicate with drivers and transport team over radio and other channels as needed for coordination
- Keep accurate log books upon arrival at client site and maintain digital records, excluding any excess mileage
- Collaborate closely with JLL teammates, transport team, vendor supervisors, security, and facility management to ensure safe operations
- Ensure compliance with all transport processes, employee data protection, and safety protocols at all locations
- Maintain important transport-related contact lists and keep vendor supervisor information current
- Assign unique reference numbers to transport requests and prepare work orders for each service requirement
- Monitor completion of work orders and track fulfillment against service level agreements
- Assist in scheduling and monitoring of routine and ad hoc trips based on employee requirements
- Prepare daily, weekly, and monthly transport summary reports with trip volumes, on-time performance, and incident logs
- Support calculation and validation of vendor invoices based on trip logs and contractual rates
- Address employee transport queries with courtesy and professionalism, contributing to seamless workplace experience
- Monitor and support improvement programs for transport efficiency, cost optimization, and service quality
- Willingness to work in rotational shifts
Qualifications:
- Bachelor's degree in any discipline
- 1-3 years of experience in transport operations, administration, or logistics coordination
- Corporate or BPO transport management experience strongly preferred
- Good verbal and written communication skills for skilled interaction with employees and vendors
- Strong teamwork and collaboration abilities to work effectively across departments
- Proficiency in MS Office (Excel, Word) and data entry for maintaining logs and reports
- Excellent attention to detail with focus on accuracy in documentation and record-keeping
- Strong organizational skills to manage multiple routes, schedules, and priorities simultaneously
- High integrity, punctuality, and reliability in handling time-sensitive operations
- Customer service orientation with ability to handle queries and concerns professionally
- Flexibility to work in shifts and adapt to fast-paced, 24/7 operational requirements
- Analytical mindset to review reports, identify trends, and support process improvements
