Role Overview
- The Operations Manager is responsible for the end-to-end management of the institution's physical infrastructure and administrative support functions - including housekeeping, facility upkeep, MEP systems, transportation, hostel operations, documentation & records, and IT support coordination.
- The role also owns operations budget planning and control, vendor and compliance management, and leads the operations team through structured cadence and task tracking, ensuring a safe, well-maintained, and efficiently run campus.
Duties and responsibilities:
1. Housekeeping & Facility Management
- Ensure daily housekeeping standards are maintained across classrooms, offices, hostels, common areas, and campus grounds.
- Plan and supervise facility upkeep - building maintenance, furniture, fixtures, and general infrastructure.
- Oversee MEP (Mechanical, Electrical, Plumbing) systems - preventive maintenance, breakdown response, and AMC coordination with vendors/contractors.
- Conduct periodic facility and safety audits; ensure fire safety, electrical safety, and statutory compliance.
2. Administrative Operations
- Transportation: Plan and manage staff/student transport schedules, routes, vehicle maintenance, and driver management; ensure safety and punctuality.
- Hostel Management: Oversee hostel administration - occupancy, mess/catering coordination, discipline, maintenance, and grievance redressal.
- Documents & Records: Maintain systematic filing, indexing, and secure storage (physical and digital) of institutional records, staff files, contracts, and statutory documents.
- IT Support: Coordinate with IT vendors/internal team for hardware, network, AV, and systems support across campus; track and close support tickets.
3. Budget Management
- Prepare and manage the annual and monthly operations budget across housekeeping,
facility, transport, hostel, and admin functions.
- Monitor actual spend against budget, flag variances, and drive cost-efficiency without compromising service quality.
- Review and approve operational expenses within delegated authority; ensure timely vendor payments and reconciliation.
4. Vendor & Compliance Management
- Identify, negotiate, and manage vendors/contractors for housekeeping, security, MEP, transport, and facility services.
- Track AMC and contract renewals; ensure statutory licenses, permits, and insurance remain valid and compliant.
5. Team Management
- Lead, guide, and supervise the operations support team (housekeeping, maintenance, transport, hostel, admin staff).
- Maintain and drive a cadence checklist for recurring operational tasks; track completion, escalate delays, and report status.
- Conduct regular team briefings/reviews; ensure accountability and timely closure of assigned tasks.
Qualification:
- Graduate/Postgraduate in any discipline; a degree/diploma in Facility Management, Business Administration, or Hospitality is an added advantage.
- Working knowledge of MEP systems, vendor/contract management, and statutory compliance requirements.
- Proficiency in MS Excel/Google Sheets for budget tracking and reporting; familiarity with ticketing/helpdesk tools is a plus.
Experience:
- 3-7 years of experience in operations, facility, or administrative management, preferably in an educational institution, hospitality, or corporate campus setup.
Skills
- Strong organizational and multi-tasking ability across diverse operational functions.
- Vendor negotiation and cost-management skills.
- Team leadership and people management.
- Problem-solving with a proactive, on-ground approach to facility and admin issues.
- Transparent communication and reporting discipline (written and verbal).
