The Office Administrator is responsible for ensuring the smooth day-to-day functioning of the office by managing administrative operations, coordinating with various departments, maintaining office records, supervising support staff, and providing administrative support to leadership. The role requires strong organizational, communication, and problem-solving skills to maintain an efficient and productive work environment.
Key ResponsibilitiesOffice Administration
- Manage daily office operations and ensure efficient administrative processes.
- Maintain office records, files, and documentation in both physical and digital formats.
- Develop and implement administrative procedures and office policies.
- Ensure compliance with organizational policies and statutory requirements.
Facility & Office Management
- Oversee office maintenance, housekeeping, security, and office infrastructure.
- Coordinate repairs and maintenance of office equipment and facilities.
- Monitor office supplies, stationery, and pantry inventory, and place orders as required.
- Liaise with external vendors and service providers for office-related services.
Administrative Coordination
- Coordinate meetings, appointments, conferences, and travel arrangements.
- Prepare reports, presentations, and correspondence for management.
- Maintain calendars and support senior management with administrative tasks.
- Handle incoming and outgoing mail, couriers, and official communications.
Vendor & Asset Management
- Manage vendor relationships and service contracts.
- Maintain records of office assets, equipment, and inventory.
- Ensure timely renewal of AMC contracts, licenses, and service agreements.
- Verify invoices related to office administration and coordinate for payment processing.
Team Support
- Supervise reception, housekeeping, security, and other support staff.
- Coordinate onboarding logistics for current employees, including workspace allocation and office access.
- Support HR in organizing employee engagement activities, training sessions, and company events.
Compliance & Safety
- Ensure adherence to health, safety, and workplace regulations.
- Maintain emergency contact information and office safety procedures.
- Coordinate fire safety drills and other compliance-related activities where applicable.
Required Qualifications
- Bachelor's degree in Business Administration, Management, Commerce, or a related field.
- 3–5 years of experience in office administration, facilities management, or administrative operations.
Skills Required
- Excellent organizational and multitasking skills.
- Strong communication and interpersonal abilities.
- Proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook).
- Knowledge of office administration practices and documentation.
- Vendor management and negotiation skills.
- Time management and problem-solving abilities.
- Ability to maintain confidentiality and handle sensitive information.
