HR Operations Manager
Role Purpose
We are seeking an experienced, hands-on HR Operations Manager to independently manage end-to-end HR operations for Adastra India. The role is responsible for efficient and compliant HR processes, reliable employee support and accurate administration throughout the employee lifecycle. The successful candidate will serve as the primary HR operations contact in India while collaborating closely with the HR Director, business leaders and global HR teams.
Key Responsibilities
- Manage the employee lifecycle from accepted offer through onboarding, probation confirmation, contractual changes, internal mobility and offboarding.
- Coordinate the collection and verification of pre-employment documents, background-verification activities, joining formalities, employee file creation and onboarding.
- Maintain accurate employee records, employment documentation and HRIS data, ensuring confidentiality, data integrity and audit readiness.
- Act as the primary HR operations contact for employees and managers in India, providing clear and timely guidance on HR policies, benefits and processes.
- Ensure compliance with applicable Indian labour laws and statutory requirements, including PF, ESI, Professional Tax, Gratuity, Shops and Establishments requirements, maternity benefits and POSH obligations.
- Track statutory and internal deadlines, maintain required registers and documentation, and proactively escalate compliance risks or process gaps.
- Coordinate accurate and timely monthly payroll inputs and work closely with external payroll providers; review payroll outputs and support reconciliations and query resolution.
- Administer employee benefits, including insurance and mediclaim programmes, enrolments, renewals,
claims coordination and employee queries.
- Support employee-relations matters by responding to routine queries, documenting cases, assisting with investigations and maintaining strict confidentiality.
- Support the implementation and local adoption of global HR policies, procedures, systems and employee programmes.
- Prepare and maintain regular HR reports and dashboards covering headcount, attrition, leave, payroll and other operational indicators.
- Support internal and external HR audits and ensure that corrective actions are completed within agreed timelines.
- Identify opportunities to standardise, simplify and automate HR processes while improving employee experience and operational controls.
- As the India organisation grows, contribute to building, developing and potentially supervising the local HR operations team.
Candidate Profile
- Minimum 5–7 years of hands-on HR operations experience, preferably within an IT, technology, consulting or multinational organisation.
- Strong practical knowledge of Indian labour laws, statutory compliance, payroll processes, POSH requirements and employee documentation.
- Demonstrated experience managing the full employee lifecycle and coordinating with external payroll, benefits and background-verification providers.
- Excellent written and spoken English, with the confidence to lead meetings, prepare professional correspondence and explain HR processes to employees, managers and international stakeholders.
- Ability to work independently, make sound day-to-day decisions and escalate significant legal,
employee-relations or business matters appropriately.
- Strong attention to detail, organisation and follow-through, with the ability to manage recurring deadlines and multiple priorities.
- High level of integrity, discretion and professionalism when handling personal data and sensitive employee matters.
- Strong employee-service mindset and explicit, respectful stakeholder communication.
- Good working knowledge of Microsoft Excel and experience preparing HR reports, payroll checks and data analyses.
- Experience using an HRIS; knowledge of SAP SuccessFactors is an advantage.
- Bachelor’s or Master’s degree in Human Resources, Business Administration or a related field.
Working Model and Collaboration
- The role is based in Pune and follows a hybrid working model. Office attendance is flexible and should remain aligned with business needs, employee support and key HR activities.
- The role follows standard India working hours, with flexibility to maintain a reasonable collaboration window with the HR Director and European teams when required.
- The position supports Adastra’s India employee population. It does not include recruitment or candidate selection; ownership begins after the candidate accepts the employment offer.
