Job SummaryThe Billing Head will be responsible for managing the complete billing cycle of transportation operations, ensuring timely customer invoicing, vendor bill verification, POD management, revenue reconciliation, and coordination with operations and finance teams. The candidate should have prior experience in a transport or logistics company handling high-volume billing.

- Key ResponsibilitiesCustomer BillingGenerate invoices as per contracts, rate sheets, and customer SOPs.
- Ensure timely submission of invoices with complete supporting documents (POD, LR, e-way bill, gate receipts, etc.).
- Coordinate with customers for billing approvals and resolve billing queries.
- Track pending invoices and ensure monthly billing closure.
- POD ManagementMonitor POD collection from all branches.
- Ensure timely submission of PODs to customers.
- Maintain digital POD records and customer-wise documentation.
- Rate & Contract ManagementVerify freight rates as per approved contracts.
- Update revised rates in ERP.
- Validate additional charges such as detention, unloading, toll, and waiting charges.




- Vendor Bill VerificationVerify market vehicle bills against approved placement rates.
- Ensure proper documentation before processing vendor payments.
- Coordinate with Operations regarding discrepancies.
- Billing Controls & MISPrepare Daily, Weekly, and Monthly Billing MIS.
- Track pending billing, unbilled trips, debit notes, and credit notes.
- Monitor customer-wise outstanding billing.
- Support month-end and year-end closing activities.
- CoordinationWork closely with Operations, Placement, Finance, and Customer Service teams.
- Ensure customer billing timelines are met without delays.
- Required SkillsExperience in Transport Management System (TMS) / ERP.
- Excellent knowledge of MS Excel (VLOOKUP/XLOOKUP, Pivot Tables, Power Query preferred).
- Understanding of transport documentation (LR, POD, E-way Bill, Challans).
- Solid analytical and reconciliation skills.
- Good communication and team management abilities.
