We are looking for a detail-oriented and proactive Tender & Contracts Specialist with a minimum of 2 years of experience in government and private tender management. The ideal candidate will be responsible for identifying relevant tenders, preparing and submitting bids, coordinating with internal teams, maintaining tender documentation, and ensuring successful execution from tender identification through award and dispatch.

The candidate should possess hands-on experience with the Government e-Marketplace (GeM) portal and other government/private procurement platforms, along with a sound understanding of tender documentation, contracts, and compliance requirements. The key responsibilities for this job are:
Tender Identification & Analysis :
- Search and identify relevant government and private tenders that align with the organization's products and services.
- Monitor multiple tender portals including GeM and other procurement websites on a daily basis.
- Analyse tender eligibility criteria, technical specifications, commercial requirements, and submission guidelines.
- Prepare summaries of identified tenders for management review.
Tender Preparation & Submission :
- Prepare complete technical and commercial bid documents.
- Coordinate with internal departments to collect all required documents and information.
- Ensure accurate and timely submission of bids before deadlines.
- Manage online bid submissions on various procurement portals.
- Track amendments, corrigenda, clarifications, and updates issued by tender authorities.
GeM Portal Management:
- Handle end-to-end tender activities on the Government e-Marketplace (GeM).
- Manage GeM bidding, reverse auctions, catalog updates, and compliance documentation.
- Maintain vendor registrations, certifications, and profile updates on GeM.
- Coordinate with GeM authorities whenever required.
Contract & Compliance Management:
- Review tender terms and contractual conditions.
- Ensure compliance with statutory, legal, and organizational requirements.
- Coordinate with finance, legal, operations,
and management teams for documentation and approvals.
- Maintain confidentiality of commercial information and bid documents.
Tender Tracking & Execution:
- Monitor the complete tender lifecycle from publication to award.
- Coordinate with internal stakeholders after award for purchase order execution.
- Follow up until material dispatch and completion of contractual obligations.
- Maintain communication with procurement authorities, customers, and concerned departments.
Tender Documentation & Record Keeping:
- Maintain organised digital and physical records of:
- Tender documents
- Bid submissions
- Purchase Orders
- Contracts
- Correspondence
- EMD/BG details
- Compliance documents
- Maintain ledgers and trackers for submitted, ongoing, awarded, and lost tenders.
Timeline & Deadline Management:
- Prepare tender calendars and submission schedules.
- Track important dates including:
- Bid submission deadlines
- Pre-bid meetings
- Technical evaluations
- Financial bid openings
- Contract milestones
- Send timely reminders to concerned departments.
Tender Award & Market Analysis:
- Analyse closed tenders to identify awarded bidders and winning prices.
- Study competitor participation, pricing trends, and award patterns.
- Prepare reports on successful bidders, procurement trends, and market opportunities.
- Recommend strategies to improve future bidding success.
Stakeholder Communication:
- Communicate with procurement departments, government agencies, customers, and vendors regarding tender-related queries.
- Coordinate with internal departments to ensure smooth execution of awarded contracts.
- Respond to tender clarifications and document requests within stipulated timelines.
Required Skills:
- Hands-on experience with Government e-Marketplace (GeM) .
- Strong knowledge of government and private tender procedures.
- Understanding of basic contract terms and commercial documentation.
- Experience in tender bidding, preparation, submission, and tracking.
- Knowledge of procurement regulations and compliance requirements.
- Excellent documentation and record management skills.
- Strong analytical and research abilities.
- Excellent written and verbal communication skills.
- Good negotiation and coordination skills.
- High attention to detail and deadline management.
Qualifications:
- Bachelor's degree in Business Administration, Commerce, Law, Management, or any related discipline.
- Certifications related to procurement, tendering, or contract management will be an added advantage.
