Qualification & Experience :

- Bachelor's degree or ITI/technical diploma in any discipline.
- Minimum 5 years stores/inventory management experience in any industry.
- Hands-on experience with ERP inventory systems (ERPNext, SAP, Sage, Tally, or similar) and solid Excel skills — the ability to work in a fully system-based stores environment is essential.
- Demonstrated experience with stock control processes: requisitions, GRNs, issues, cycle counts, stocktakes, and variance reporting.
- Fluent in English

- Role Involves :

The Head of Stores is accountable for the end-to-end custody, control, and availability of all inventory at New Luika Gold Mine site operations — drilling consumables, rig and heavy equipment spare parts, diesel and lubricants, tyres, PPE, and general stores. Company runs a capital-intensive, consumables-heavy business at site: diamond drill rigs and a contract mining and equipment hire fleet deployed under a multi-year contract, supplied through an international procurement pipeline sourcing from China, South Africa, Singapore, India, and locally. Stock-outs stop rigs and idle hired equipment, directly costing contract revenue; uncontrolled issuance and fuel leakage directly erode margins.

Core Responsibilities:

Mining, Store Operation, Inventory Control, Warehouse & Site Stores Management

Product Experience: Mining , Store Management

Preferred

- Experience with technical spare parts, consumables, or fuel inventories (mining, drilling, heavy equipment, manufacturing, or plant environments).
- Experience managing remote or site-based stores.
- Familiarity with mining contractor or mine-site environments in Tanzania or the region

Key Responsibilities:

Inventory Control & Custody:

- Maintain complete, accurate, and auditable records of all stock at the New Luika site stores, covering receipts, issues, returns, transfers,



and adjustments, with clean reconciliation of stock transfers to and from the Tanga base warehouse.
- Enforce a strict issuance discipline: no material leaves stores without an authorized requisition coded to the correct cost centre (rig, machine, project, or department).
- Establish and maintain min/max and reorder levels for all critical items, with particular attention to long lead imported items (diamond drill bits, wireline systems, rods, core barrels, PM service kits, drilling muds and polymers).
- Track consumables usage against operational output (e.g., bits and mud consumption per metre drilled; parts consumption per machine hour) and flag abnormal usage to the Head of Drilling and Head of Contract Mining.
- Conduct monthly cycle counts and full quarterly/annual stocktakes; investigate and report all variances with root-cause analysis

Fuel & Lubricants Accountability

- Take full custody of diesel receipt, storage, and dispensing at site, including dip readings, meter reconciliations, and issuance logs per machine/vehicle.
- Reconcile fuel issued against machine hours and kilometres run; produce a monthly fuel accountability report identifying variances, and support investigations into fuel losses.
- Manage lubricants and filters inventory aligned to the preventive maintenance schedule

Receiving, Inspection & Transfers

- Receive and inspect all incoming goods at site against purchase orders, delivery notes, and packing lists; document and escalate shortages, damages, and specification mismatches to procurement immediately.
- Coordinate with the Tanga base and procurement team on shipment and transfer tracking, so site stores visibility begins at PO/transfer placement, not at the site gate.
- Maintain a live goods in transit register tied to the purchase order and transfer registers and expected consumption timelines

Warehouse & Site Stores Management

- Organize and maintain the site stores: proper binning, labelling, and location coding; segregation of new, used,



repairable, and scrap items; safe storage of chemicals, tyres, and hazardous materials per HSE requirements.
- Set up, standardize, and supervise the site stores layout (including container stores at drilling and workshop areas), with clear stock transfer protocols between base and site.
- Manage a rotables/repairables process: track components sent for repair or reconditioning and their return to stock

Systems, Reporting & Compliance

- Own the inventory module within the company's ERP environment (ERPNext); drive data accuracy, item master hygiene, and adoption of system-based transactions over manual records.
- Produce monthly stores reports for management: stock value by category, slow-moving and obsolete stock, consumption by cost centre, stock-out incidents, fuel reconciliation, and open PO/in-transit status.
- Support internal and external audits, insurance surveys, and client (mine) compliance inspections with complete documentation.
- Ensure stores operations comply with mine-site regulations, client site procedures, and Tanzanian statutory requirements.

Team Leadership

- Recruit, train, and supervise storekeepers, clerks, and fuel attendants; build a culture of accuracy, honesty, and accountability.
- Define clear SOPs for all stores processes and train staff and requisitioners (drillers, mechanics, supervisors) on them.

Key Performance Indicators:

- Stock accuracy: Cycle count accuracy of 98% or higher against system records
- Stocktake integrity: Zero unexplained stock variances above tolerance at stocktake
- Fuel reconciliation: Monthly variance within agreed tolerance (e.g., ≤1%)
- Availability: Zero rig or fleet downtime attributable to stock-outs of items within agreed min/max coverage
- Stock health: Slow-moving and obsolete stock identified and actioned quarterly
- Issuance discipline: 100% of issues supported by authorized, cost-centre-coded requisitions • Reporting: Monthly stores report delivered by working day 5
