Role & responsibilities

Role Objective The Senior Manager Administration will be responsible for leading the overall administrative and operational excellence of the SOIL School of Business Design campus. The role will ensure efficient management of campus infrastructure, facilities, transportation, travel, security, housekeeping, vendor partnerships, statutory compliance, and institutional events.

Working closely with academic leadership, faculty, students, and support functions, the incumbent will create a safe, efficient, student-centric, and service-oriented campus environment while driving operational efficiencies, cost optimization, and high-quality stakeholder experiences.

Key Responsibilities

1. Campus Administration & Facilities

- Lead the overall administration of the campus, ensuring smooth day-to-day operations across academic and administrative facilities.
- Oversee campus infrastructure, classrooms, meeting spaces, common areas, reception, guest house, cafeteria, and support services to maintain high standards of functionality and aesthetics.
- Ensure preventive maintenance of campus infrastructure, equipment, utilities, and building services through effective coordination with maintenance teams.
- Drive continuous improvement initiatives to enhance operational efficiency, campus experience, and service delivery.
- Ensure campus readiness for academic sessions, leadership meetings, student activities, and institutional events.

2. Logistics, Travel & Transportation

- Oversee institutional travel, accommodation, transportation, and logistics for faculty, leadership, students, visiting dignitaries, and external stakeholders.
- Manage the campus transportation fleet, including vehicle utilization, maintenance schedules, fuel management, statutory documentation, and vendor performance.
- Coordinate logistics for academic programs, field visits, corporate engagements, and student immersion activities.
- Identify opportunities for operational efficiencies and cost optimization across travel and transportation functions.

3. Vendor, Procurement & Contract Management

- Lead end-to-end vendor management including identification, onboarding, negotiations, service delivery, renewals, and performance evaluations.
- Manage service contracts relating to housekeeping, security,



transportation, maintenance, hospitality, facility management, and other administrative services.
- Ensure timely processing of purchase requests, vendor invoices, service agreements, and administrative payments.
- Drive procurement best practices while ensuring transparency, compliance, and value for money.
- Build long-term partnerships with reliable vendors to support institutional growth.

4. Campus Operations & Support Services

- Lead and supervise administrative support teams including housekeeping, security, reception, pantry, drivers, and facility personnel.
- Ensure high-quality hospitality services for visitors, recruiters, guest speakers, corporate partners, and leadership.
- Support onboarding logistics for faculty and staff, workspace readiness, and administrative requirements.
- Develop and implement administrative SOPs to improve operational consistency and service standards.
- Handle operational escalations proactively and ensure timely resolution of campus-related issues.

5. Institutional Events & Guest Experience

- Lead planning and execution of institutional events including convocations, conferences, seminars, leadership interactions, corporate events, admissions activities, student events, and official ceremonies.
- Coordinate logistics, venue management, hospitality, transportation, vendor support, and event operations.
- Ensure exceptional guest experiences through seamless planning and stakeholder coordination.
- Collaborate with internal teams to deliver high-quality institutional events aligned with SOIL's standards.

6. Compliance, Administration & Governance

- Ensure compliance with institutional policies, statutory requirements, safety protocols, and administrative procedures.
- Maintain accurate administrative documentation, contracts, asset records, inventories, and operational reports.




- Support internal and external audits through proper documentation and process adherence.
- Monitor administrative budgets and ensure effective utilization of resources.
- Prepare periodic MIS reports and operational dashboards for leadership review.

Key Skills & Competencies

- Strong knowledge of campus administration, logistics, travel management, and facility operations
- Excellent vendor management and negotiation skills
- Strong coordination and stakeholder management abilities
- High attention to detail and operational discipline
- Ability to manage multiple priorities in a fast-paced academic environment
- Strong communication and interpersonal skills
- Proficiency in MS Office / Google Workspace; advanced Excel skills preferred
- Experience with travel booking systems and administrative reporting is an advantage

Requirements

- Bachelor’s degree in business administration, Operations Management, Hospitality Management, or a related discipline. A postgraduate qualification will be an advantage.
- 8–11 years of progressive experience in administration, facilities management, campus operations, logistics, or institutional administration.
- Prior experience in higher education institutions, universities, business schools, or large academic campuses is highly preferred.
- Demonstrated experience in managing campus infrastructure, transportation, travel, hospitality, vendor management, and institutional events.
- Experience in leading administrative teams and managing multiple stakeholders.
- Strong understanding of budgeting, procurement processes, statutory compliance, and operational governance.
- Ability to independently manage operational priorities in a dynamic academic environment.
