The Hospital Receptionist is the first point of contact for patients and visitors. The role involves greeting patients, registering them, scheduling appointments, handling phone calls, maintaining patient records, processing payments, and ensuring a smooth patient experience while maintaining confidentiality and professionalism.

Key Responsibilities

Patient Reception & Registration

- Welcome patients and visitors in a courteous and professional manner.
- Register new patients and update existing patient information.
- Verify patient identity and demographic details.
- Guide patients to the appropriate department or consultant.

Appointment Management

- Schedule, reschedule, and cancel appointments.
- Coordinate appointments with doctors and diagnostic departments.
- Inform patients about appointment timings and preparation instructions.

Telephone & Communication

- Answer incoming calls professionally.
- Respond to patient inquiries regarding hospital services.
- Transfer calls to appropriate departments.
- Take and relay messages accurately.

Billing & Payments

- Collect consultation and investigation fees.
- Generate receipts and maintain daily cash records.
- Coordinate with the billing department for payment-related issues.

Documentation

- Maintain patient registration records.
- File and organize medical records as required.
- Ensure confidentiality of patient information.

Patient Support

- Assist patients with registration procedures.
- Provide information regarding hospital policies and services.
- Address patient concerns politely and escalate complaints when necessary.

Administrative Duties





- Maintain reception area cleanliness and organization.
- Coordinate with housekeeping, nursing, and administrative departments.
- Prepare daily reports if required.

Required Qualifications

- Bachelor's degree or Diploma in any discipline.
- Additional certification in Hospital Administration is an advantage.
- Freshers or candidates with 13 years of front office experience may apply.

Required Skills

- Knowledge of MS Office.
- Hospital Management System (HMS) knowledge preferred.

Preferred Experience

- Experience in a hospital, diagnostic centre, or clinic.
- Familiarity with NABH standards is an added advantage.
- Experience using Hospital Information Systems (HIS/HMS).
