Job Description: HRSS (Level 2) US Project
Role Overview:
This is a specialized transactional role within the HR Shared Services team. You will be responsible for the end-to-end execution of HR administrative processes for our US-based workforce, ensuring high accuracy and compliance with US labor standards.
Key Responsibilities
- Lifecycle Transactions: Execute complex data entries in the HRIS (e.g., Workday, SAP SuccessFactors) including new hire onboarding, job changes, promotions, and offboarding.
- Lifecycle Management: Act as the primary administrator for HR-related procurement within Coupa. This includes creating Requisitions and opening Purchase Orders (POs) based on vendor contracts.
- Invoice Matching: Receive incoming vendor invoices and accurately link them to existing POs or track down missing documentation to ensure alignment.
- Approval Routing: Proactively manage the workflow for invoice approvals; identify the correct internal stakeholders based on budget ownership and ensure timely sign-off to avoid late fees.
- Vendor Liaison: Serve as the point of contact for US vendors regarding payment status, invoice discrepancies, or PO updates.
- Process Consolidation: Take ownership of the fragmented invoice tasks currently handled by multiple team members to create a single, streamlined point of accountability.
- Data Auditing:
Perform regular audits of employee records to ensure 100% data integrity for payroll and compliance reporting.
- Reporting: Generate scheduled and ad-hoc reports regarding headcount, turnover, and other HR metrics for US stakeholders.
Technical Requirements
- HRSS Expertise: 24 years of experience using enterprise HR systems (Workday, Oracle, or PeopleSoft).
- US HR Knowledge: Familiarity with US employment laws, terminology, and standard documentation requirements.
- Transactional Accuracy: Proven ability to handle high-volume data entry with a low error rate.
- Tools: Advanced proficiency in Microsoft Excel (VLOOKUPs, Pivot Tables) for data reconciliation.
- System Knowledge: Hands-on experience with Coupa (or similar P2P platforms like Ariba or Oracle).
- Financial Literacy: Understanding the relationship between Requisitions, POs, and Invoices.
Detail Orientation: Ability to spot discrepancies between billed amounts and contracted rates.
Mandatory requirements
- Solid knowledge of HR domain/processes.
- Experience in BPO or shared services environments.
- Proficiency in Excel and data manipulation.
